Overview

Papagino Foods Inc. is looking for a reliable and detail-oriented Office Administrative Assistant to join our team on a full-time contract basis for 3 to 6 months. The ideal candidate should have strong organizational skills, customer service experience, and experience working with an online store. This position involves general office duties, customer support, accounting-related tasks, inventory assistance, and online order processing.

Duties

Demonstrate strong proficiency in Microsoft Excel, including spreadsheets, formulas, data entry, sorting and filtering, inventory reports, reconciliations, and financial record management.

Required Skills

Advanced working knowledge of Microsoft Excel.
Practical experience using QuickBooks Online.
Experience maintaining and processing orders through Shopify.
Strong organizational, accounting, customer-service, and communication skills.
Excellent attention to detail and accuracy.
Use QuickBooks Online to prepare invoices, record payments and expenses, manage accounts payable and accounts receivable, perform bank reconciliations, and generate financial reports.
Maintain and update the company’s Shopify online store, including product listings, pricing, descriptions, images, inventory quantities, customer orders, and website content.
Process Shopify orders and prepare online orders for customer pickup, delivery, or mailing.
Perform general office and administrative duties.
Answer customer phone calls and emails and assist walk-in customers with orders and product inquiries.
Address and resolve customer complaints and concerns professionally and promptly.
Maintain accurate electronic and manual filing and record-keeping systems.
Match paid invoices with accounts payable and accounts receivable reports.
Maintain and update customer and supplier records.
Verify invoice, purchase order, and product codes for accuracy.
Prepare and process cheque runs.
Perform bank and account reconciliations.
Manage accounts receivable, including invoicing, payment follow-ups, and overdue account collection.
Conduct banking transactions and prepare deposits.
Perform credit-control and collection activities.
Assist with job costing, budgeting, and financial reporting.
Maintain inventory-control systems and accurate stock records.
Ensure strict confidentiality and protect company, employee, supplier, and customer information.

Pay: $19.00-$21.00 per hour
