Position Summary
This role is responsible to manage inbound and outbound warehouse operations in compliance with GMP regulations. This includes responsibilities in warehousing, logistics coordination, and operational reporting to ensure product integrity, regulatory compliance, and high customer satisfaction.
Essential Functions
Receiving & Shipping
- Coordinate the receiving and shipping of raw materials, components, and finished goods in accordance with GMP guidelines.
- Ensure accurate documentation, labeling, and inspection of all incoming and outgoing shipments.
- Maintain segregation of materials as per GMP protocols to prevent cross-contamination.
- Collaborate with Quality Assurance for product release and non-conformance handling.
- Accurate input and output in WMS to ensure accurate movement of freight
- Collaborate with Accounts Payable to ensure accurate charges and expenses are recognized.
- Investigate and resolve variances related to loads.
- Ontime accountability for the generation of purchase orders. Ensuring customer requests are accurate with agreed upon details prior to shipment (OTIF). Work with customer carriers to ensure accurate pick up times.
- Ensure all appropriate cross boarder paperwork is provided to the carrier.
- Have a clear understanding of the company’s policies and vision and how Shipping & Receiving contributes to these.
Logistics & Carrier Coordination
- Schedule inbound and outbound shipments, coordinating with approved carriers and freight forwarders.
- Track shipments and communicate delays or issues proactively.
- Maintain compliant shipping documentation (BOLs, COAs, temperature logs, etc.).
- Coordinate the flow of all trucks in the yard by ensuring the accurate scheduling of loads.
- Be the point of contact for customers.
- Book appointments via email updating DMS as appropriate.
- Monitor and track the performance of freight companies i.e. late for appointments etc.
- Ensure the booked appointments are in sync with the dates on the purchase orders, both for our 3PL
- partners and our own facility.
- Finalizing all shipping documents, including custom documents
Returns & Non-Conformance Handling
- Manage return logistics, including inspection, documentation, and coordination with QA/QC.
- Investigate overages, shortages, and damages (OS&D) and implement corrective actions.
- Support CAPA (Corrective and Preventive Action) processes related to warehouse or transport issues.
- Communication & Customer Service
- Serve as the main point of contact between the warehouse, clients, and logistics partners.
- Communicate shipment status, delays, and issue resolutions clearly and promptly.
- Collaborate across departments to ensure timely delivery and customer satisfaction.
GMP Compliance & Documentation
- Ensure adherence to SOPs, Good Documentation Practices, and company policies.
- Assist in internal/external audits and maintain audit readiness.
- Accurately complete logs, records, and reports in real-time to maintain traceability.
Reporting & Continuous Improvement
- Generate daily/weekly reports on warehouse and logistics KPIs (e.g., OTIF, cycle time, inventory accuracy).
- Analyze trends in delays, non-conformances, and efficiency metrics.
- Propose and help implement process improvements to enhance compliance, quality, and performance.
- Support cycle and year-end inventory counts at multiple warehouses and reconcile in-transit inventory
- Other tasks as reasonably assigned
Required Knowledge, Skills and Abilities
- Demonstrates strong organizational skills with proven attention to detail.
- Possesses physical strength necessary to lift and move items upto 50LBS.
- Exhibits ability to use inventory software efficiently (Microsoft Office, Outlook, WMS and SAP BatchMaster)
- Possesses basic math skills with experience using Excel.
- Works well with a team.
- Communicates clearly and effectively.
- Demonstrates strong interpersonal skills.
- Handles discrepancies or shipping problems calmly and politely.
- Exhibits familiarity with shipping and billing procedures.

Health and Safety
- Conduct all Job Tasks in a Safe and Responsible manner.
- Participate in all Health and Safety, GMP and HACCP training as required.
- Report any accidents, incidents and unsafe/hazardous conditions to your supervisor.
- Report any damages to property and machinery to your supervisor.
- Ensure that you understand how and when to use the Personnel Protective Equipment (PPE) that is located in your work area.
- Ensure you comply with OHSA, WSIB, MOL regulations and/or laws that govern “workers” responsibilities in the workplace and Comply with Tradition Fine Foods Ltd. Safety Rules and Good Manufacturing Practices, and HACCP Programs
- Demonstrates awareness of proper warehouse and factory safety procedures.
Job Specifications
- College or University Education in Supply Chain.
- Minimum 2-4 -year work experience in warehouse and logistics.
- Exhibits good communication skills and is able to work as part of a team.
- Has an eye for detail and a scientific approach to problem-solving.
- Computer competent.
