Job Summary
We are looking for a diligent part-time secretary to join our company. The ideal candidate will be the first point of contact for our clients, providing exceptional customer service and support in an office environment. Candidates must possess the ability to work efficiently, pay attention to details and multi-task. This posting is for an existing vacancy.
Responsibilities:
- Answer, screen, forward phone calls and operate switchboard in a timely manner
- Welcome and greet visitors at the front desk in a professional manner
- Deal with queries and providing correct information via phone calls and emails
- Schedule and confirm showing appointments
- Prepare real estate legal forms and documents such as offers and listings
- Ensure the accuracy of all documents before uploading and distributing
- Perform daily office opening and closing procedures
- Ensure reception area is tidy and presentable at all times
- Maintain paper and electronic filing systems for records, correspondence and other material
- Perform clerical duties such as distribution of mail, faxes, deliveries and other materials received
- Report office equipment malfunctions to the I.T. and Operations Department
- Perform such other activities as called upon
Requirements:
- Possess excellent customer service skills and strong computer skills
- Flexible availability, including weekdays and weekends.
- Able to attend a 2-weeks training in the Head office, located at 8 Steelcase Rd W, Markham, Monday-Friday at 9am-5pm
- Fluent in Cantonese or Mandarin is an asset
- Part-time hours are Mon-Fri 4:30pm-9pm, Sat-Sun 9am-5pm (roughly). Number of shifts are flexible.
