New Haven administers +$150 million in mortgages across Ontario with an aim to become a leading alternative lender. This position – Fulfillment Specialist – plays a critical role in supporting the funding and completion of mortgage transactions by ensuring files are processed accurately, efficiently, and in accordance with lender, broker, and regulatory requirements.
Our team is looking for a detail-oriented, solutions-driven professional with strong organizational skills and a sense of urgency. In this role, you will coordinate closely with Mortgage Originations, Underwriting, Legal, and external partners to ensure files are advanced smoothly from approval through to funding.
Responsibilities
- Manage mortgage files from commitment sign back through to funding
- Review commitment letters and ensure all documentation and conditions are satisfied in a timely manner
- Collect, review, and validate required documentation (borrower, property, legal, and closing)
- Ensure each mortgage file is documented in accordance with KYC/AML requirements
- Liaise with brokers, borrowers, solicitors, and internal teams to facilitate file progression and resolve outstanding items
- Instruct and follow up with solicitors to ensure timely closings and proper execution of documents
- Ensure compliance with internal policies, lender guidelines, and regulatory requirements at every stage of the process
- Maintain accurate and up-to-date records within internal systems
- Provide regular status updates to internal stakeholders and escalate issues where appropriate
- Coordinate with Accounting and Mortgage Administration teams to support funding and payment processing
- Review the solicitor closing package and ensure file accuracy and completeness on internal systems
Knowledge & Experience
- 2+ years of experience in mortgage processing, funding or fulfillment at a Trust Company or Private Lender
- Post-secondary education in Business Administration, Finance, or a related field is preferred
- Strong understanding of mortgage documentation, funding processes, and closing requirements
- Proficiency in MS Office, Mortgage Automator, HubSpot, and similar systems

Job Type/Hours
- Full-time hybrid 2-3 days per week at our Head Office (1500-150 Ferrand Drive, Toronto ON, M3C 3E5)
- Monday to Friday, 9:00 AM to 5:00 PM (overtime may be required from time to time)
- Hiring Salary Range: 55,000 – 65,000
