Sanofi has recently embarked onto a vast and ambitious digital transformation program. A cornerstone of this roadmap is the acceleration of its data transformation and adoption of artificial intelligence (AI) and machine learning (ML) solutions, to accelerate R&D, manufacturing and commercial performance and bring better drugs and vaccines to patients faster, to improve health and save lives.
The Digital R&D Data & AI Products and Platforms Team is a key team within R&D Digital, focused on developing and delivering Data and AI products for R&D use cases. This team plays a critical role in pursuing broader democratization of data across R&D and providing the foundation to scale AI/ML, advanced analytics, and operational analytics capabilities.
As the Executive Assistant, you will be providing comprehensive administrative support to the Head of Digital R&D Data AI Products and Platforms, ensuring efficient operations and effective communication across the organization. The ideal candidate will be proactive, resourceful, and able to manage multiple priorities efficiently.

Main Responsibilities:
Executive Support
Manage complex calendars, schedule meetings across multiple time zones, and coordinate with internal and external stakeholders
Coordinate domestic and international travel arrangements, including logistics for conferences, workshops, and site visits
Process and reconcile invoices, expense reports in a timely and accurate manner and handle procurement requests as needed
Maintain and organize digital files, ensuring easy access and security
Maintain confidential files and documentation and handle confidential information with discretion
Prepare and distribute meeting materials, take minutes, and follow up on action items
Team Support & Coordination
Provide administrative support to the Digital R&D Data AI Products & Platforms team, including organizing departmental and team events, workshops, off-sites, leadership meetings and logistics
Maintain team distribution lists, organizational charts, and shared resources
Support HR functions such as onboarding new employees as needed
Track and follow up on action items from leadership and team meetings
Communications
Draft, edit, and distribute internal communications on behalf of Head of Digital R&D Data AI Products and Platforms
Manage information flow and ensure timely responses to inquiries
Coordinate internal and external communications (presentations, reports, briefing materials) on behalf of leadership
Support the preparation and/or consolidation of materials for governance meetings, leadership reviews, and cross-functional initiatives
Partner with other Executive Assistants across R&D and the organization to ensure alignment and best practice sharing
About You
Qualifications:
Proven experience as an Administrative Assistant, Executive Assistant or similar role
3+ years of experience as an Administrative Assistant, preferably supporting senior leaders in a pharmaceutical, biotech, or healthcare environment
Bachelor's Degree (preferred)
Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines
Strong written and verbal communication skills
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint), Zoom
Experience with travel coordination and expense management systems (e.g., Concur)
High level of professionalism, discretion, and confidentiality
Ability to work independently and as part of a team
Experience supporting senior executives preferred
