Overview
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will be the friendly first point of contact for patients and visitors, ensuring smooth day-to-day operations at our clinic. Your organizational skills and positive attitude will help create an inviting environment while supporting administrative functions that keep our practice running efficiently. Saturday coverage is a required.

Duties

Greet patients and visitors warmly, providing excellent customer service and answering inquiries about appointments, services, or billing.
Manage multi-line phone systems, directing calls accurately and professionally while maintaining phone etiquette.
Schedule appointments, coordinate calendars, and manage patient flow to optimize clinic operations.
Handle data entry tasks such as updating patient records, processing payments, and verifying insurance information.
Maintain organized filing systems (both digital and paper), ensuring all documents are accurate, up-to-date, and easily accessible.
Assist with general clerical duties such as photocopying, faxing, mailing, and managing office supplies to ensure a well-organized workspace.

Skills

Proven experience in office administration or clerical roles within a healthcare or professional setting.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Exceptional phone etiquette skills with experience managing multi-line phone systems.
Bilingual abilities are highly valued to serve diverse patient populations effectively.
Strong attention to detail for proofreading documents and ensuring accuracy in data entry.
Customer service orientation with the ability to handle inquiries professionally and courteously.
