Position Summary

The Student Services Officer is a front-line representative for Student Services, providing in-person, phone, and virtual support for students and visitors to address presenting needs. The position provides operational and database support for a wide range of Student Services operations to meet the department's needs.

This position is primarily based at the Newnham Campus and may be assigned to work at other Seneca campuses during certain parts of the semester based on operational needs.

Responsibilities

Providing frontline support and triaging cases within the International Student Support (ISS) queue in Salesforce, including responding to general inquiries related to IRCC processes, immigration information (within scope), health insurance, transition and settlement support, and updating template responses where applicable.
Liaising with internal departments such as Academic Schools and the Registration Office to verify enrolment and academic information required for support letters, settlement-related documentation, and other student service needs.
Supporting operational delivery of transition, orientation, and settlement programming, including workshops and student engagement events.
Assisting across all three Student Services areas with operational tasks such as airport pickup coordination, locker clean-up initiatives, and holiday closure support.
Supporting Service Hub operations during peak periods through triage, escalations, and outbound call campaigns related to enrolment and student outreach.
Participating in operational working groups, including triaging Provincial Attestation Letter (PAL) requests requiring secondary review and routing.

Qualifications

Education

Minimum completed two (2) year Diploma or equivalent.

Experience

Minimum of two (2) years related experience working with students or in an educational, administrative and/or community setting is required.
Experience and proficiency with Microsoft Office suite, database management and educational technology.

Skills

Well-developed customer service, communication (verbal and written), and interpersonal skills are required, with the ability to interact effectively, with tact and diplomacy, with the Seneca’s diverse staff, students and public.
Effective organizational, planning and time management skills, with attention to detail and the ability to work quickly and to prioritize multiple projects
Well-developed critical thinking, problem-solving and conflict resolution skills.
Strong presentation and public speaking skills
A self-starter with the ability to work creatively, collaboratively, and effectively both independently and as a team member
Demonstrated competency using online information/database/electronic file management systems, Adobe, and Microsoft Office software (specifically Outlook, Words, Excel, PowerPoint, SharePoint)

A combination of relevant experience and education may be considered as equivalent to the above requirements in the event that there are no internal applicants that meet the qualifications as posted. Equivalency will be assessed by the talent acquisition team.
