Overview
The Beaufort Family Health Society was formed in 2022, in response to the absence of primary care services in Cumberland. Cumberland Village Health Care (CVHC) is owned and operated by the Beaufort Family Health Society, and provides primary care services to residents of Cumberland and the Comox Valley.
Cumberland Village Health Care is part of the Comox Valley Primary Care Network, which provides patients with direct access to Allied Health Providers as part of our team-based model. Allied Health Providers include a full-time registered nurse, part-time social worker, part-time dietitian, and part-time mental health and substance use clinician. We are seeking to hire a Clinic Manager who will work collaboratively and collegially with the Clinical Director(s) of Cumberland Village Health Care and the Executive Director of the Beaufort Family Health Society. The Clinic Manager is responsible for the operational management of Cumberland Village Health Care, in alignment with the Vision, Mission and Values set by the Beaufort Family Health Society.
Responsibilities
- Manage the daily operations of the clinic, including scheduling, patient flow, and staff coordination
- Supervise administrative and clinical staff, providing guidance and ongoing feedback, staff performance evaluations
- Oversee documentation and billing processes using electronic medical records system
- Ensure compliance with healthcare regulations, privacy laws, and safety standards
- Maintain efficient clinic workflows to optimize patient experience and operational productivity
- Handle human resources functions including hiring, training, and conflict resolution
- Monitor clinic budgets and expenses to ensure financial health of the practice
- Collaborate with physicians, nurse practitioners, Allied Health providers and administrative personnel to improve service delivery
- Implement policies and procedures to enhance clinic efficiency and quality of care
Skills
- Proficiency in MYLE/Medfar electronic medical records systems
- Proficiency in use of Microsoft Outlook (Word/Excel/Email) and ADOBE.
- Strong knowledge of medical terminology and healthcare practices
- Experience in medical clinic management, including supervising staff
- Familiarity with budgeting and financial management for clinics, or within a healthcare setting
- Strong knowledge of medical office procedures and compliance standards
- Excellent organizational, leadership, and communication skills
- Ability to adapt quickly to changing demands, ongoing healthcare regulations and evolving technology

Leadership, Strategic Planning and Organizational Support
- In conjunction with the CD & ED, provides input into strategic leadership and operational risk management of the clinic, and supports the effective office management of Cumberland Village Health Care.
- Reflects and leads the clinic staff to the Society’s Vision, Mission, and Values in their work with enthusiasm and commitment.
- Assists in the development, establishment and implementation of goals, objectives, policies, procedures, and systems for operational areas of clinic.
- Collaborates with CDs to identify clinical priorities and assists with long-term planning.
- Leads the development and implementation of clinical policies and procedures with input from the CD(s), staff and other providers.
- Receives and responds to patient feedback, informs the CD(s) of any patient feedback, and seeks support to manage and address patient feedback of the CD(s)/ ED, as needed.
- Demonstrates and fosters a strong, collaborative team culture among clinic staff and clinic team members.
Human Resources
- Manages employee recruitment; learning and development; and benefits administration of Society employees; performance reviews, recognition of staff, and disciplinary actions; employee records and personnel files.
- Develops, updates, and maintains Medical Office Assistant job descriptions.
- Manages Medical Office Assistant schedules in coordination with operational requirements.
- Identifies Medical Office Assistant staffing requirements to maximize operational efficiency and recruits Medical Office Assistants, as needed.
- Conducts regular performance reviews and works with Medical Office Assistants to set goals for learning and ongoing development.
- Sets personal goals for learning and development.
- Recommends employee performance-based wage revisions to the CD(s) and/or ED and implements if approved.
- Maintains confidential employee records and personnel files.
- Maintains working knowledge of legislation on employee and patient rights and updates policies and procedures as needed.
Finance
- Reviews the overhead budget and cash flow with the CD(s) & ED, monthly/ongoing.
- Manages day-to-day banking with oversight provided by the CD(s) and/or ED.
- Manages payments and recordkeeping for products and services using POS system, cash, etc.
- Manages day-to-day bookkeeping tasks as needed.
- Regularly reviews expenses for efficiencies and savings.
- Provides information to support the annual financial audits as required.
- Supports the ED and bookkeeper to troubleshoot issues with financial statements related to clinic transactions.
Administration
- Performs periodic audits of the EMR to ensure data quality and user compliance with confidentiality policies.
- Manages internal files to ensure information security.
- Manages internal communication systems including phone tree and voicemail.
- Manages clinic access and security
- Maintains clinic website.
- Ongoing development of clinic operational procedures manual.
- Manages all third-party and private-pay billing for providers and forms submission.
- Reviews patient requests for access to information and release of health records
- Liaises maintenance personnel, as needed.
- Manages inventory of medical and office supplies and equipment.
- Responds to patient and public inquiries about our services in a timely manner.
- Assists the CD(s) with utilizing data to analyze clinic performance and improve outcomes.
Pay: From $28.00 per hour
