Who We Are: Ktunaxa Kinbasket Child & Family Services (KKCFSS) is a non-profit Delegated Aboriginal Agency governed by the Ktunaxa Nation Council Social Sector Board. KKCFSS is available to Ktunaxa citizens, First Nations, Métis and Inuit living on and off-reserve in the Ktunaxa Traditional Territory.

The Opportunity: The Administrative Support position is responsible for providing direct administrative and operational support to KKCFSS. This part-time, morning position plays a key role in ensuring the smooth day-to-day functioning of the office and serves as a centralized, knowledgeable resource for record management, document handling, reception, technology and system support, event planning, and administrative coordination. This role requires the ability to manage multiple priorities in a fast-paced environment.
This position is Part-time and is scheduled Monday to Friday mornings (approximately 21 hours per week), supporting front-line office operations during peak daily activity.
In the Role as Administrative Support, You Will:
- Answer the telephone and direct calls to appropriate personnel.
- Provide general office support including: typing, filing, data entry, maintaining office equipment, and recording incoming and outgoing mail.
- Provide system support and troubleshooting on MIS, ICM and BP as required.
- Provide support for MIS, ICM and BP, as well as maintaining physical and electronic records, including file management, caseload tracking, and opening/closing files.
- Manage offsite file storage and retrieval.
- Prepare full disclosure files for lawyers.
- Oversee the monitoring of agency vehicles for maintenance, usage, and scheduling.
- Order and monitor office supplies.
- Transcribe meeting minutes when required.
What You Will Bring to the Role:
- Certificate in Office Administration (one year).
- Exceptional abilities in interacting with others; tact, diplomacy, efficiency, courteousness, service, professionalism, warmth and genuineness.
- Record management and filing skills; both electronic and manual.
- Keyboarding skills with proficiency in MS Word, Access, Excel (minimum of 40 wpm).
- Excellent organization skills and initiative.
- 1-year office experience is an asset.
- Ability to perform effectively under pressure, manages stressful situations with ease, and adjusts quickly to changing priorities.
- High level of discretion and ability to handle confidential information
- Self-disciplined and willing to search out opportunities to support.
- Support event coordination and logistics for meetings and organizational functions
- Interpersonal skills / abilities in dealing with others.
- Communication Skills - ability to direct inquiries appropriately and provide information clearly.
- Organization and prioritization skills.
- General office administration skills.
- Experience with First Nation’s organizations.
- Knowledge and respect of the Ktunaxa Nation’s culture, language and traditions.
- Valid driver’s license and a reliable vehicle.

- Salary range $30,153.60 to $36,846.60, with placement based on your education and relevant experience. Candidates with extensive education and relevant experience may be placed at higher steps upon hire.
