Full job description

The Battlefords Housing Authority has an opportunity for a full-time permanent Administrative Assistant. This position supports the finance, tenant services, and maintenance teams and is typically the first point of contact in person or over the phone with tenants and the general public. If you are extremely organized with your work, deadline driven, enjoy working in a fast-paced and diverse environment, this may be the position for you!

Responsibilities & Requirements:

Greet and assist tenants, contractors, and the public in person and by phone.
Respond to inquiries and direct calls to appropriate staff.
Maintain confidentiality of all tenant and organizational information.
Perform general administrative duties including typing, data entry, and maintaining spreadsheets and databases.
Prepare letters, forms, mailouts, meeting materials, and information packages.
Schedule meetings, coordinate rooms, and take minutes when required.
Process incoming/outgoing mail and maintain filing systems and office supplies.
Receive rental payments, issue receipts, and prepare daily deposits.
Support finance activities including invoice processing and basic AP/AR tasks.
Assist with tenant services tasks such as rent calculations, lease packages, and documentation.
Log maintenance work orders, coordinate contractor information, and support tender documentation.
Generate reports and summaries as requested.
Participate in reception rotation and provide cross-coverage for all admin functions.
Contribute to a positive, collaborative team environment.

Qualifications:

Certificate or diploma in office administration, plus 2 years of relevant experience or an equivalent combination of education and experience.
Experience with manual and computerized accounting systems
Applied knowledge of MS Office Suite (preparing documents, spreadsheets, databases, calendars and e-mail)
Strong organizational, multitasking, and administrative skills
Excellent communication skills, both written and verbal
Ability to manage confidential information and work independently and as a member of a diverse team
Strong interpersonal skills to work with staff, tenants, and the public
Reliable, accountable, and able to handle conflict and stressful situations
Recognition of, and respect for peoples’ diversity and individual differences.
An approved Enhanced (“Vulnerable Sector”) Criminal Record Check will be required.
