Front desk Administrator at Canadian College of Acupuncture and Traditional Chinese Medicine (CCATCM)

CCATCM is looking for a professional, organized, proactive, and detail-oriented Administrator & Executive Assistant to the President to join our growing team.

This is an excellent opportunity for someone who enjoys working with people, managing multiple responsibilities, and using technology to make the workplace more efficient.

Key Responsibilities

Provide administrative and executive support to the President.
Manage calendars, meetings, appointments, and follow-ups.
Handle phone calls, emails, visitors, and general office administration.
Serve as a primary contact for students and assist with admissions, registration, scheduling, and inquiries.
Support instructors with course schedules, materials, and communication.
Prepare and edit emails, reports, documents, and correspondence.
Coordinate communication between students, instructors, and College departments.
Use Microsoft Office, AI tools, and other technology to improve efficiency.
Maintain organized records and manage multiple priorities in a fast-paced environment.

Qualifications

Excellent written and verbal communication skills.
Strong computer skills and proficiency with Microsoft Office.
Excellent organization, time management, and multitasking abilities.
Professional telephone and customer-service skills.
Reliable, self-motivated, detail-oriented, and able to work independently.
Comfortable learning and using AI tools and new technology.

Assets

Previous experience in administration, office management, or executive assistance.
Experience in education or healthcare administration.
Fluency in English is strongly preferred.
Familiarity with AI tools such as ChatGPT is an asset.
