Program Overview:
The Administrative Coordinator provides essential administrative, financial, and operational support to the Violence to Resilience Department. This role supports the effective day-to-day functioning of programs by coordinating administrative systems, documentation, data tracking, scheduling, and communications, allowing program staff to focus on direct service delivery and community-based work. The Administrative Coordinator works collaboratively with program Coordinators, Managers, and centralized departments (Finance, HR, Facilities) and plays a key role in maintaining organized, compliant, and trauma-informed administrative practices across Violence to Resilience programs.
Essential Duties of Position:
Administrative & Operational Support
- Provide day-to-day administrative coordination for Violence to Resilience programs, including calendar management, meeting scheduling, and internal communications
- Prepare, format, and maintain documents such as reports, letters, trackers, forms, and program materials
- Maintain organized digital and physical filing systems in accordance with organizational policies and privacy requirements
- Support onboarding and offboarding processes for staff and casual team members within the department
- Coordinate logistics for meetings, trainings, and community engagements
Financial & Data Support
- Support basic financial administration, including purchase requests, invoice tracking, expense documentation, and reconciliation support
- Assist with tracking program budgets and expenditures in collaboration with Managers and the Finance team
- Maintain accurate program data, statistics, and administrative trackers to support reporting and evaluation requirements
- Support funder reporting processes by compiling administrative and quantitative information as requested
Program & Team Support
- Act as a first point of contact for administrative inquiries and direct requests appropriately
- Support coordination of supplies, resources, and space needs for program operations
- Assist with updating internal calendars, schedules, and shared databases
Equity, Trauma-Informed & Organizational Practices
- Carry out all responsibilities in alignment with YWCA Halifax’s trauma-informed, feminist, and equity-centred approach
- Maintain confidentiality and demonstrate sensitivity when handling information related to gender-based violence and exploitation
- Support a culture of collaboration, respect, and psychological safety within the department
- Participate in relevant training, meetings, and organizational initiatives as required
Qualifications & Experience
- Diploma or certificate in office administration, business administration, social services administration, or a related field; equivalent experience will be considered
- Minimum two years of experience in an administrative or coordination role, preferably within a community-based, nonprofit, or social services environment
- Demonstrated administrative, organizational, and time-management skills
- Strong written and verbal communication skills
- Proficiency with Microsoft Office (Word, Excel, Outlook, Teams) and shared document systems
- Experience working within trauma-informed or equity-centred environments is an asset
