Position: Summer Student – Administrative Assistant
Reports To: Manager
Summary: The Summer Student will support office staff with customer service, utility billing, basic bookkeeping tasks, data entry, records management, payment processing, and other general administrative duties.
Work Hours and Availability:
- Term: July–August (flexible start and end dates)
- Standard working hours are Monday to Friday, 8:00am to 4:30pm.
- Full time consisting of 40 hours per week.
- Overtime is not expected, however it may be required in exceptional circumstances.
- Two paid 15 minute breaks and one half hour unpaid lunch break per standard workday.
Responsibilities:
- Maintain a clean and orderly office environment.
- Work cooperatively with management and coworkers.
- Maintain confidentiality regarding customer and company information.
- Follow company policies and safety procedures.
- Participate in training as required.
- Perform other duties reasonably related to the position.
Tasks:
The following is a detailed list of tasks typically performed by a Summer Student - Office Admin Assistant but is not intended to be an exhaustive list. Other tasks may be assigned if they are reasonably understood to be within the scope of the position.
- Assist with filing and maintaining organized records.
- Digitize existing paper records and files.
- Answer and direct telephone calls professionally.
- Greet and assist customers at the front counter.
- Receive and process customer payments.
- Prepare outgoing mail and paper bills.
- Perform data entry and maintain spreadsheets.
- Update files, manuals, and office documentation.
- Assist with inventory and materials documentation.
Certifications, Training and Experience:
Required at time of hire:
- Currently enrolled in high school, college, university, or a recent graduate.
- Strong computer skills and familiarity with Microsoft Word and Excel.
- Excellent communication and customer service skills.
- Strong attention to detail and organizational abilities.
- Ability to work independently and as part of a team.
- Positive attitude and willingness to learn.
Preferred:
- Previous office, retail, or customer service experience.
- Experience with excel, or bookkeeping-related programs is an asset
Physical Demands and Working Environment:
This position consists of indoor office work.
Physical Demands:
- Prolonged periods of sitting at a desk and working on a computer.
- Frequent use of standard office equipment such as computers, phones, photocopiers, and printers.
- Occasional standing, walking, and lifting of files or other materials (typically up to 20 pounds).
- Hand and finger dexterity for typing, writing, and using office equipment.
Working Conditions:
- The environment is generally quiet and climate controlled.

Pay: $15.00-$18.00 per hour
