Role
The Mortgage Fulfillment Specialist is the engine behind every closed deal, making sure that once a mortgage is conditionally approved, nothing stands between our clients and the closing table. This role is built for someone who is tech-savvy, extremely organized, and moves at a quick pace, someone who loves checking boxes, chasing down documents, and getting files closing-ready with speed and precision.
Core Responsibilities
- Condition Fulfillment: Communicate with clients, brokers, solicitors, and lenders to satisfy every condition and confirm all documentation is received and accurate ahead of closing.
- Document Processing: Collect, review, and organize required documentation quickly and efficiently once a file is conditionally approved, keeping deals moving without delay.
- Post-Closing Follow-Up: Follow up with clients to ensure everything has gone smoothly after closing, and coordinate closing gifts and requests for Google reviews.
- Annual Reviews: Schedule annual reviews for clients and their mortgage agent/broker.
- Records & Reporting: Keep files, records, and reports accurate and up to date at all times.
- Issue Escalation: Flag issues to the mortgage agent on file or the Manager, but most importantly, be a problem solver first.
- Renewal Outreach: Use the database to proactively reach out to clients ahead of their mortgage renewal date.
- Process Improvement: Review current workflows and recommend changes that create efficiencies for the team.
- Other Duties: Special projects and other duties as assigned.
Requirements & Competencies
- Tech-Savvy: Well versed with Google Workspace tools, AI, and other tech platforms. We move quickly and are always adapting, looking for efficiencies wherever possible to make the process seamless for both our clients and our team.
- Extremely Organized: Process-oriented with sharp attention to detail and strong problem-solving skills.
- Personable & Coachable: A warm, natural communicator who builds trust with clients, brokers, and the team, and takes feedback well.
- Fast-Paced: Completes tasks quickly and efficiently, multitasks under pressure, and keeps files moving without sacrificing accuracy.
- Analytical: Strong math and analytical skills.
- Background: Educational background in financial services or mortgages is preferred but not required.
- Team Player: Able to work independently and as part of a team.
- Confidentiality & Integrity: Handles sensitive client and financial information with the utmost discretion and integrity at all times.
