Eagle Vision Institute is a busy ophthalmology practice dedicated to providing exceptional eye care in a professional, patient-focused environment. We are seeking a friendly, organized, and detail-oriented Receptionist to join our team and serve as the first point of contact for our patients.
Position Summary
The Receptionist plays a key role in ensuring smooth daily clinic operations by welcoming patients, managing appointments, handling administrative tasks, and supporting both physicians and clinical staff. The ideal candidate is professional, compassionate, and comfortable working in a fast-paced medical setting. The Receptionist supports technicians and doctors with clinic flow, including lane loading, patient intake and workups, and diagnostic testing as needed.
Key Responsibilities
- Greet and check in patients in a courteous and professional manner
- Answer and direct incoming phone calls
- Schedule, confirm, and manage patient appointments
- Maintain accurate patient records and update information in our Oscar EMR system
- Process referrals, insurance information, and billing documentation as needed
- Coordinate patient flow and communicate with clinical staff
- Handle incoming faxes, emails, and correspondence
- Collect payments and issue receipts when applicable
- Communicate with local optometry offices in a professional and timely manner
- Maintain patient confidentiality and follow privacy regulations
- Keep reception and waiting areas organized and welcoming
Qualifications
- Previous reception or administrative experience required; medical office experience preferred
- Experience in ophthalmology, optometry, or healthcare is an asset
- Communicating with patients with respect, kindness, and patience
- Excellent organizational and multitasking abilities
- Proficiency with computers, EMR systems, Microsoft Office, and scheduling software
- Ability to work efficiently in a fast-paced environment
- Professional demeanor and strong attention to detail
Preferred Skills
- Knowledge of medical terminology
- Experience handling OHIP billing/referrals
- Ability to speak additional languages is an asset
