Office Administrator
We are seeking an Office Administrator to support our disaster restoration division. This role involves financial, administrative, and clerical tasks to ensure accurate and efficient operations.
As an Office Administrator, you will:
- Perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables’ data.
- Reconcile the accounts receivable records to ensure accurate payment tracking
- Investigate and resolve billing discrepancies.
- Facilitate payment of invoices due by sending bill reminders and contacting clients
- Generate financial statements and reports detailing accounts receivable status.
- Upload, update and manage project data, including estimates, documents, revenue, and other relevant information across all project types.
- Support with bids, tenders, and time-and-materials (T&M) documentation.
- Respond to client and customer calls, accurately document information, and follow up on overdue invoices as needed.
- Intake and set up new project files in Job Management System (JMS) and associated platforms.
- Run daily reports and assign files to the respective Project Managers.
- Maintain accurate and up-to-date project files and customer profiles.
- Manage all invoicing processes, including preparing, reviewing, and issuing invoices, tracking payments, and addressing any discrepancies to ensure accurate and timely billing.
To be successful in this role, you will bring:
- Accounts Receivable & Invoicing Experience: A strong background with 3+ years in invoicing, accounts receivable, and stakeholder reporting.
- Technical Proficiency: Advanced skills in Microsoft Office 365 and familiarity with restoration software or a proven ability to learn new systems quickly.
- Adaptability & Initiative: Highly self-directed, flexible, and capable of working both independently and collaboratively in a fast-paced, dynamic environment.
- Industry Expertise: 2+ years of experience within the restoration industry considered an asset.
