Position Summary
Tl’azt’en Nation is seeking a friendly, organized, and reliable Receptionist / Administrative Assistant to support the day-to-day operations of the Administration Department.
This position is often the first point of contact for community members, visitors, staff, Chief and Council, and external partners. The successful candidate will provide front desk reception, general administrative support, document preparation, filing, scheduling assistance, and coordination support for the Administration Office.
This role is well suited for someone who is professional, approachable, organized, and comfortable working in a busy community-based office environment.
Key Responsibilities
The Receptionist / Administrative Assistant will be responsible for:
- Greeting community members, visitors, staff, and external partners in a welcoming and professional manner.
- Answering and directing incoming phone calls, emails, and general inquiries.
- Providing front desk reception coverage for the Administration Office.
- Scheduling appointments, meetings, and room bookings as required.
- Preparing, formatting, scanning, photocopying, filing, and organizing documents.
- Maintaining office supplies and supporting office inventory needs.
- Assisting with mail, courier, deliveries, and document distribution.
- Supporting meeting preparation, including agendas, sign-in sheets, materials, and meeting room setup.
- Providing administrative support to managers, departments, and leadership as directed.
- Maintaining confidentiality when handling employee, community, financial, or organizational information.
- Assisting with data entry, records management, and file organization.
- Helping coordinate internal communications, notices, and administrative updates.
- Supporting community events, office functions, and general administrative projects when required.
- Performing other related duties as assigned.
Qualifications and Experience
The preferred candidate will have:
- Previous reception, office administration, customer service, or administrative support experience.
- Strong communication and interpersonal skills.
- Ability to work respectfully with community members, Elders, staff, leadership, and external partners.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and respond to changing priorities.
- Basic computer skills, including Microsoft Word, Outlook, Excel, Teams, and general office equipment.
- Ability to maintain confidentiality and use good judgment.
- Reliable attendance and punctuality.
- A valid driver’s licence is considered an asset.
- Experience working with a First Nation, Indigenous organization, or community-based organization is considered an asset.
