Full job description

Overview

We are seeking a dynamic and detail-oriented Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance organizational efficiency, and provide exceptional customer service. The ideal candidate will bring a proactive attitude, excellent communication skills, and a strong background in administrative tasks. Your energy and enthusiasm will help keep our office running smoothly and ensure a positive experience for clients, visitors, and team members alike. Duties

Manage front desk responsibilities including greeting visitors, answering phone and directing calls with professional phone etiquette
Perform data entry tasks accurately using Microsoft Office and ZANDA
Organize and file documents efficiently, ensuring easy retrieval of information and maintaining confidentiality
Support bookkeeping activities such as invoicing, billing, and expense tracking.
Assist with clerical duties including proofreading correspondence, preparing reports.
Provide excellent customer support by responding promptly to inquiries via phone or email and offering helpful solutions
Manage and maintain Social Media campaigns.

Qualifications

Proven experience in an administrative or clerical role with strong organizational skills
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Docs, Sheets).
Experience using ZANDA is an asset.
Excellent computer skills with the ability to learn new systems quickly
Prior experience working at a front desk or handling multi-line phone systems with professionalism
Strong typing skills with attention to detail for proofreading and document accuracy
Knowledge of medical or dental office procedures is a plus
Demonstrated customer service skills with the ability to handle inquiries courteously and efficiently
Ability to perform filing tasks accurately and manage multiple priorities effectively
