Full job description

Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will manage daily administrative tasks, support office operations, and ensure smooth communication across departments. This role requires strong computer skills, excellent customer service abilities, and proficiency with various office software. The Office Administrator will be a key point of contact for clients and staff, providing professional support in a fast-paced environment.

Duties

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry and maintain accurate records using Microsoft Office and QuickBooks
Handle filing systems, document proofreading, and general clerical tasks to ensure organized office operations
Support bookkeeping activities and assist with basic bookkeeping using QuickBooks
Provide exceptional customer service by responding to inquiries via phone, email, or in person
Schedule appointments, coordinate meetings, and manage calendars for staff members.
Support administrative functions such as preparing reports, maintaining supplies, and ensuring compliance with office policies

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with QuickBooks and basic bookkeeping procedures
Strong data entry skills with high accuracy and attention to detail
Excellent organizational skills with the ability to multitask effectively in a busy environment
Exceptional customer service skills with professional phone etiquette and communication abilities
Clerical experience including filing, proofreading, and managing front desk operations
Ability to work independently as well as part of a team in an office setting
Prior experience in medical or dental offices is a plus but not required; relevant experience is valued highly
Strong computer skills including familiarity with office equipment and software applications
Experience with project based accounting would be an asset.

Pay: $20.00-$22.00 per hour
