Job Summary
We are seeking a professional and organized Receptionist/Dispatcher to join our team. This role is vital in ensuring smooth communication, efficient scheduling, and exceptional customer service. The ideal candidate will have strong clerical skills, experience with office software, and the ability to manage multi-line phone systems. This position offers an opportunity to work in a dynamic environment where organizational skills and attention to detail are highly valued.

Responsibilities

Answer multi-line phone systems promptly and professionally, providing excellent customer service
Manage scheduling and dispatching for service appointments or deliveries
Maintain accurate records using data entry skills and filing systems
Utilize software such as QuickBooks, Microsoft Office, Google Workspace, ServiceBox, and other office tools for administrative tasks
Perform clerical duties including proofreading, document preparation, and correspondence management
Handle customer inquiries via phone, email, or in person with professionalism and courtesy
Support bookkeeping tasks related to billing or invoicing as needed
Assist with general office duties such as filing, organizing documents, and maintaining a tidy front desk area

Requirements

Proven clerical or administrative experience, preferably in a medical or dental office setting
Strong computer skills including proficiency with Microsoft Office (Word, Excel), Google Workspace, and data entry
Experience with QuickBooks and bookkeeping is a plus
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Exceptional phone etiquette and customer service skills
Ability to handle multi-line phone systems effectively and professionally
Attention to detail for proofreading and data accuracy
Prior experience in medical or dental offices is desirable but not required
Strong organizational skills with the ability to prioritize tasks effectively
High school diploma or equivalent; additional administrative training is advantageous

Pay: $16.00-$20.00 per hour
