Full job description

Job Summary

We are seeking a dynamic and organized Bilingual Maintenance Receptionist specializing in Transportation to join our team! In this vital role, you will serve in the central hub of our fleet reception area handling maintenance data entry, invoicing, to assist in maximum fleet uptime and accurate billing.

Duties

Data entry - repairs, parts purchases invoice and giving out Purchase Orders for outside repair on fleet equipment
Open, update, and close shop work orders, ensuring technician notes and parts used are accurately recorded.
Operate with Engine and equipment computer programs
Assist in schedule transportation arrangements for staff, clients, and deliveries using relevant software tools.
Input maintenance logs into the Garage Management System, update vehicle statuses in dispatch software, and log invoices into the accounting system.
Maintain accurate data records of transportation related documentation through data entry.
Coordinate with maintenance and transportation vendors to confirm schedules and resolve any issues that arise.
Support administrative functions by managing office supplies, maintaining cleanliness of the front desk area, and assisting with general office duties as needed. Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems with professionalism, answering inquiries and directing calls efficiently.
Order and track daily MVI stickers, book orders and returns

Experience

Experience with Truck Mate, AS400, dispatch and or other Garage Management systems considered a strong asset
Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace, and QuickBooks or similar bookkeeping software is a required
Familiarity with trucking, logistics, or heavy-duty diesel mechanics is highly preferred.
Excellent organizational skills with keen attention to detail for data entry and record keeping.
Demonstrate ability to handle confidential information discreetly while maintaining accuracy in documentation.

Pay: $17.12-$24.00 per hour
