The ideal candidate is one who has good experience in working within the legal practice space and is very knowledgeable on the provisions and workings of the Canadian legal system. The candidate must also possess the ability to work in a fast-paced environment, pays attention to detail and be culturally sensitive.
Responsibilities
- Opening and closing client files and preparation of engagement and non-engagement letters.
- Developing and revising a variety of legal documents: creating briefs, hearing materials, books of authority, and any other materials required for any hearing(s).
- Preparing and swearing affidavits of service, arranging for service of notices of hearing, orders, and settlement agreements;
- Coordinating with hearing witnesses with respect to hearing attendance, travel arrangements, and acting as a point of contact for questions on hearing procedures.
- Performing general administration duties: drafting, typing, proofreading, formatting, and/or editing memos, letters and documents, dictation, general filing, faxing, and photocopying.
- Scheduling room bookings, and handling travel arrangements.
- Answering the telephone, scheduling appointments and meetings, greeting visitors, and handling administrative and business details.
- Open correspondence (including faxes and e-mail), coordinate the flow of information, and respond to routine inquiries.
- File documents at the Courts, Land Titles Office, and the like.
- Deliver mails and other documents and serve Court processes, where necessary
- Set up and maintain records management systems (including classifying and coding electronic and hard-copy files).
- Transcribe correspondence and legal documents from digital recordings or handwritten notes.
- Assist with ongoing client meetings and contact clients to obtain relevant case information;
- Diarizing applications and administrative deadlines.
- Organizing and maintaining clients’ files.
- Handling banking-related matters, including deposits, withdrawals, and the like when required.
- Providing information to supervisors and co-workers by telephone, in written form, e-mail, or in person.
- Communicating with persons outside the firm, representing the firm to clients, the public, government, and other external entities. This information can be exchanged in person, in writing, by telephone, by e-mail, or by fax.
- Any other work or duty that may be assigned to you by the undersigned, from time to time.
Qualifications:
- High School
- Previous study in law or paralegal training will be a major asset.
- Proven work experience as a legal assistant or paralegal is an asset.
Languages: English.
