Position: Office Manager (Non Union)

SUMMARY OF POSITION
The Office Manager at Granite Ridge Retirement Residence plays a key role in ensuring the efficient day-to-day administrative operations of the residence. This position supports resident services, financial administration, staff coordination, and communication in a confidential manner with families, vendors, and the leadership team. The Office Manager helps create a welcoming, organized, and professional environment that reflects the residence’s commitment to quality care and service.
QUALIFICATIONS
· Must have completed a recognized course in secretarial or business procedures
· Must be able to read, write and speak English
· Must be able to follow oral and written directions and carry out instructions/directions with accuracy
· Must be familiar with and capable of carrying out bookkeeping procedures relating to resident’s accommodation charges, accounts payable and receivable, petty cash, monies received and given out for any goods or services received or rendered by the facility.
· Must be familiar with the use of Microsoft Office (Word and Excel)
· Must have clear decision-making ability
· Must have excellent attention to detail
· Must be pleasant and courteous
· Must have an empathy for and an ability to get along with elderly people
· Must have patience, tolerance and politeness when responding to residents, staff and visitors
RESPONSIBILITIES
- Provide full support for the Administrator, Administrative Assistant and other Supervisory Staff.
· Direct, organize, schedule, hire, train and supervise front desk staff

· Maintain employee files and ensure compliance with company policies, employment standards and ORCA training. Provide orientation for new hires each month.
· Order products for residence as required/requested.
· Assist with staff scheduling, timekeeping, and payroll cross-training/coordination.
· Support recruitment processes, onboarding, and employee documentation.
· Collects inquiry email addresses for marketing blitz.
· Ensures communication flows effectively among receptionists.
· Accounting knowledge.
· Check & rectify shortfalls (product inventory, inquiries not being answered and parcels/mailed not delivered promptly).
· Provide initial face to face and telephone contact with visitors. Provide direction to visitors and callers and/or notify appropriate people as required.
· Provide personal and telephone contact with residents. Attend to the needs of the residents and or notify appropriate people as required.
· Maintain confidentiality of all financial, personal, personnel and resident data.
· Knowledge of and practice of residence’s fire and safety program (ie. Monthly fire drills).
· Maintain records as required (staff/resident updates).
· Handle payments from residents or family members, as directed by the Administrator or Administrative Assistant.
· Prepare and dispatch outgoing mail daily. Sort incoming daily mail for distribution to residents and all departments.
· Present a positive image of the residence to the public.
· Observe the comings and goings of residents from the residence.
· Conduct tours of the home.
- Answer telephone and direct calls to appropriate personnel.
- Respond to telephone and personal inquiries regarding accommodation, recording data on appropriate forms for future reference.
· Be knowledgeable of and practice facilities Fire and Safety Programs.
· Perform Health and Safety Audits and ensure action items are completed.
· Ensure new hire documents are received and documented prior to start date. Coordinate with supervisors to ensure all documents received and onboarding orientation scheduled.
· Ensure reception, lobby and dining room area are well maintained and presentable each day.

Monday to Friday – Though flexibility will be required at times.
7:30am to 2:30pm – 4 days a week, 2:30pm to 8pm one day a week (to be determined)
MANDATORY
Must be willing to obtain a Covid 19 Booster and flu shot each year.
Must have excellent attendance
Pay: $22.00-$24.00 per hour
