Full job description

About the position

Bull Powertrain is looking for an organized and dependable Bilingual Administrative Coordinator. This position supports our accountant while handling reception, general administration, purchasing documentation, and freight coordination.

The successful candidate will be comfortable working with customers, suppliers and employees by telephone, email and in person. Strong Excel skills, attention to detail and the ability to communicate in both English and French are required.

Responsibilities

Answer incoming telephone calls and assist reception visitors in English and French.
Support the accountant with accounts payable, accounts receivable, invoice processing, data entry and recordkeeping.
Prepare reports, spreadsheets and supporting documents using Microsoft Excel.
Enter and maintain purchase orders.
Match purchase orders with packing slips, invoices and receiving documents.
Obtain and compare freight quotes.
Coordinate freight pickups and deliveries.
Track shipments and assist with freight-related issues.
Prepare and organize shipping and receiving documentation.
Maintain accurate electronic and paper filing systems.
Assist with month-end documentation and other accounting tasks as required.
Provide general administrative support to management and other departments.

Required qualifications

At least two years of relevant administrative, accounting-support or office experience.
Ability to communicate professionally in both English and French.
Previous reception and telephone experience.
Strong Microsoft Excel skills.
Strong attention to detail and accuracy.
Professional written and verbal communication skills.
Ability to organize multiple priorities and meet deadlines.
Ability to handle financial, employee and business information confidentially.

Preferred qualifications

Experience with accounts payable or accounts receivable.
Logistics experience, including obtaining freight quotes and coordinating shipments.
Experience with accounting or ERP software.
Post-secondary education in accounting, business administration, or a related field.
Experience in an industrial, mining, automotive or heavy-equipment environment.
