Full job description

We are looking for someone who is available to work these scheduled hours consistently. Flexibility to occasionally assist with additional hours or special events is an asset.

About the Role

The Aesthetic Haus is looking for a friendly, organized, detail-oriented, and polished Receptionist / Front Desk & Social Media Coordinator to join our team.

This is a client-facing role that combines reception and administrative responsibilities with clinic organization and social media support. The ideal candidate is warm and welcoming, highly organized, comfortable multitasking, and confident using social media.

Key Responsibilities

Front Desk & Client Experience

Welcome clients in a warm, friendly, and professional manner
Answer phone calls, emails, and client inquiries
Manage appointments, bookings, cancellations, and rescheduling
Use Jane App or similar booking software
Process payments and assist with front-desk administration
Provide an elevated and personalized client experience
Communicate professionally with clients in person, by phone, and online

Clinic Operations

Complete daily opening and closing duties
Maintain a clean, organized, and welcoming clinic environment
Monitor and maintain inventory
Track supplies and place orders when needed
Receive and organize deliveries
Keep the reception and clinic areas tidy throughout the day
Identify when supplies or products need to be replenished
Assist with general administrative and operational tasks

Social Media & Instagram

Monitor and respond to Instagram DMs and inquiries
Maintain an active and engaging Instagram presence
Create and post content on a weekly basis
Film short-form videos and Instagram Reels
Take photos and videos of the clinic, treatments, products, and behind-the-scenes content
Assist with planning and organizing social media content
Represent The Aesthetic Haus’s brand and aesthetic online

The Ideal Candidate

Friendly, warm, and genuinely enjoys interacting with clients
Professional, polished, and personable
Extremely organized and detail-oriented
Reliable and punctual
Able to multitask and prioritize in a busy environment
Takes initiative and can work independently
Naturally tidy and takes pride in maintaining a beautiful, clean environment
Comfortable with technology and quick to learn new software
Familiar with Jane App or similar booking systems
Comfortable using Instagram for business
Confident filming short-form video content
Strong written and verbal communication skills
Previous front desk, receptionist, customer service, or administrative experience
Experience in a medical spa, aesthetic clinic, medical office, beauty, or wellness environment is an asset
