Armbrae Academy was founded in 1887 and is a co-educational PreSchool to Grade 12 university preparatory school with 350 students. POSITION OVERVIEW
The Extended Care & (P-5) Co-Curricular Coordinator is a part-time leadership and administrative role dedicated to enhancing student retention and community satisfaction through high-quality auxiliary programming. Operating at the intersection of school life and family support, this position oversees the daily operations of BeforeCare, AfterCare, and enrichment clubs for students from Preschool to Grade 5. As a primary "customer-facing" representative of Armbrae Academy, the Coordinator ensures the safe transition of students between academic and co-curricular environments.
CORE AREAS OF RESPONSIBILITY

Extended Care: Oversee daily operations of BeforeCare (7:30 am – 8:00 am) and AfterCare (4:30 pm – 6:00 pm), ensuring a safe, engaging, and nurturing environment.

P-5 Co-curricular (Afterschool Enrichment Programming): Manage P-5 Co-curricular (Afterschool Enrichment) Programming (3:15 pm – 4:30 pm) by designing a variety of Grades P-5 Enrichment Clubs that cater to different interests and align with the school's mission.

Coordinate teachers, external instructors, resources, and facility scheduling to deliver enrichment clubs; promoting opportunities and managing all aspects of enrolment and parent communication.

Ensure "Safe Transfer of Care" during transition periods between the school day, activities, and parent pick-up.
RELATED RESPONSIBILITIES
Staff Leadership & HR Management

Execute the full recruitment and hiring lifecycle for Extended Care staff, including interviewing and onboarding.

Train and supervise a team of young adults and service providers to ensure high-quality, congruent performance across all programs.

Manage all staff scheduling to ensure appropriate ratios and safety coverage year-round.

Manage timesheets and prepare them for payroll.
Administration & Strategic Planning-
Master and utilize Veracross and Orah for registrations, attendance tracking, and maintaining student whereabouts.

Develop and update safety protocols, including student walk-home policies, Emergency Action Plans, and incident reports.

Analyze program fill rates and facilitate parent surveys to ensure the offerings contribute to school retention and community value.

Conduct ongoing program auditing and curriculum planning to ensure operational efficiency.
PROFESSIONAL SUPPORT & DEVELOPMENT
Armbrae Academy is committed to the success of its staff. The School will provide the necessary technology, hardware, and specialized software training (Veracross, Orah, etc.) required to effectively execute the administrative and operational components of this role.
REQUIRED KNOWLEDGE AND SKILLS

Natural aptitude for engaging with and providing age-appropriate programming for students aged 5 (Grade Primary) through Grade 5.

Leadership & Recruitment: Proven ability to hire, train, and manage a diverse team of staff, volunteers, and external providers.

Organizational Excellence: Ability to manage complex logistics, including facility scheduling and shifting seasonal program needs.

Communication: High-level interpersonal skills for daily interaction with parents, staff, and co-reporting Directors.

Technical Proficiency: Comfort managing registrations, scheduling, and data through Veracross or similar school management platforms.
EXPERIENCE & QUALIFICATIONS-
Education: Post-secondary degree in Education, Child & Youth Study, Recreation Management, or a related discipline would be an asset.

Experience: Experience in a school or camp setting is also a strong asset.

Administrative Skills: Experience with staff scheduling, registration databases, and parent communications.

Certifications: Valid First Aid and CPR Level C (required).

Clearances: Valid Criminal Record Check and Vulnerable Sector Check.
SCHEDULE & WORK DYNAMICS-
Academic Year (September - June): 25 hour work week, with on-campus hours from 1:30 pm – 6:30 pm, Monday through Friday.
