QC Support Specialist
Purpose
We are seeking a highly organized and detail-oriented QC Support Specialist to support and strengthen our Quality Control operations across multiple regions. In this role, you will play a key part in ensuring the accuracy, consistency, and timeliness of QC audits, documentation, and corrective action tracking while providing essential administrative and coordination support to the QC team.
The QC Support Specialist will be responsible for managing audit data, reviewing submissions for completeness, tracking corrective actions, and assisting in reporting and trend analysis. The ideal candidate is a strong communicator with a process-driven mindset who excels at managing multiple priorities and maintaining high standards of data integrity in a fast-paced, operations-focused environment.
Key Responsibilities:
Audit & Inspection Support

Prepare, organize, and distribute audit schedules, assignments, and documentation for QC Agents.

Ensure all required forms, templates, and digital tools are up to date and accessible.

Review submitted audits for completeness, accuracy, and required elements (e.g., timestamps, GPS, photos).

Flag incomplete or inconsistent submissions and coordinate corrections with QC Agents.
Documentation & Data Management

Maintain centralized records of all QC audits, inspections, and reports.

Ensure proper filing, naming conventions, and version control across platforms (e.g., JotForm or equivalent systems).

Track submission timelines and ensure compliance with reporting deadlines.

Support data integrity by auditing entries for consistency and accuracy.
Corrective Action Tracking

Log, track, and monitor corrective actions generated from QC audits.

Follow up with responsible teams to ensure timely completion of assigned actions.

Maintain status updates and provide visibility into overdue or unresolved issues.

Assist in documenting closure evidence and ensuring proper validation records are maintained.
Reporting & Analytics Support

Compile QC data into recurring reports (daily, weekly, monthly).

Identify basic trends, recurring issues, and data gaps for QC leadership review.

Assist in preparing summaries, dashboards, and presentations for management.

Support root-cause analysis efforts by organizing and extracting relevant data sets.
Equipment & Asset Coordination Support

Maintain inventory logs and documentation related to QC-reported assets and equipment.

Assist in reconciling discrepancies reported by QC Agents with Asset Management teams.

Organize supporting documentation such as photos, GPS records, and maintenance logs.
Cross-Functional Coordination

Act as a liaison between QC, Operations, Safety, Training, and Asset Management teams for administrative follow-ups.

Route QC findings, reports, and action items to appropriate stakeholders.

Ensure communication is documented, tracked, and aligned with internal processes.
Process & System Support

Assist in maintaining and improving QC workflows, tools, and documentation systems.

Support onboarding of new QC Agents by organizing materials and system access.

Identify inefficiencies in administrative processes and recommend improvements.
Qualifications:
Required

Strong organizational and administrative skills with high attention to detail

Experience with data entry, reporting, or document management systems

Proficiency in Microsoft Office (Excel, Word, Outlook) or similar tools

Ability to manage multiple priorities and meet deadlines

Strong written communication skills with a focus on clarity and accuracy
Preferred

Experience supporting safety, compliance, or quality control programs

Familiarity with audit or inspection processes

Experience with digital form platforms (e.g., JotForm or similar)
