Job Overview
We are seeking a highly organized and proactive Office Manager/Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, clerical, and communication skills, with experience in supervising staff and managing office systems. This role requires a detail-oriented professional capable of multitasking in a fast-paced environment, ensuring smooth workflow and efficient vendor and client interactions.

Responsibilities

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and excellent phone etiquette
Oversee human resources functions such as onboarding, training & development, and maintaining employee records
Handle bookkeeping tasks, including invoicing, expense tracking and bank deposits
Supervise administrative and clinician staff and coordinate team management activities to ensure productivity and adherence to company policies
Maintain organized filing systems for documents, contracts, and vendor information
Manage vendor relationships, including procurement, billing, and service coordination
Support office supply management to ensure inventory levels are maintained efficiently
Coordinate scheduling for meetings, appointments, and training sessions while ensuring effective communication across departments
Help with community equipment pick-ups and exchanges as needed.
Participate in the on-call rotation.

Experience

Proven experience in office administration or related roles with a strong background in clerical and administrative functions
Supervising experience is preferred, demonstrating leadership capabilities in managing teams or projects
Prior experience working at a front desk or handling multi-line phone systems with excellent communication skills is essential
Familiarity with human resources processes, vendor management, filing systems, and basic budgeting practices is advantageous
Strong organizational skills combined with the ability to manage multiple priorities efficiently
Excellent interpersonal skills with professional communication abilities to foster teamwork and positive client interactions
