About Columbia Valley Freight
Columbia Valley Freight (CVF) is a federally regulated motor carrier operating across British Columbia and Alberta. We move LTL and FTL freight for customers who count on us to invoice cleanly, collect on time, and run a tight back office.
The Opportunity
We're looking for an experienced independent bookkeeper to take ownership of our full accounts receivable cycle on a contract basis. This is not an employee role — you'll operate as an independent contractor, set your own schedule within agreed deliverable windows, and bill CVF for hours worked.
You'll work primarily remotely from your own home office, with in-office days at one of our terminals (Cranbrook, Invermere, or Calgary — whichever works for you) when required for month-end, system reviews, or working sessions.
Scope of Work
You will own the full AR cycle for CVF, including:
- Invoicing — generate and send customer invoices within 24 hours of POD/BOL receipt
- Customer billing accuracy — verify rates, fuel surcharges, accessorials, and supporting documentation before invoices go out
- Collections — proactively follow up on accounts as they age, with calls and emails on accounts 30+ days overdue
- Aging reports — produce and review a weekly AR aging report with the General Manager
- Customer account reconciliation — resolve disputes, short-pays, and credit memos
- Month-end AR close — clean cut-off, aging snapshot, and handoff to financial reporting
This role is focused on AR only. Financial reporting, GL maintenance, payroll, tax filings, and CFO-level work are handled separately and are not part of this scope.
What We're Looking For
- Minimum 3 years of bookkeeping experience, with a strong AR focus
- Excellent collections skills — comfortable having direct, professional conversations with customers about overdue invoices
- High attention to detail on rates, accessorials, and supporting paperwork
- Strong organization — you can manage your own time, hit deliverable windows, and communicate proactively when something is off-track
- QuickBooks Online experience preferred (we'll train if you're strong on another platform)
- Trucking, freight, or logistics industry experience preferred — familiarity with TMS-to-accounting workflows, fuel surcharges, accessorials, and IFTA-adjacent considerations is an asset
- Comfortable working independently with structured weekly check-ins
- Located in BC or Alberta, with reliable transportation for occasional in-office days
Contractor Requirements
- You operate as a registered business or sole proprietor and invoice CVF for hours worked
- You carry your own equipment (laptop, phone, internet)
- You manage your own taxes, CPP, and any business insurance you carry
- You may work with other clients
- A signed independent contractor agreement will be required before work begins
Hours and Compensation
- 20–35 hours per week, with flexibility within agreed deliverable windows
- Hourly rate negotiable based on experience
- Monthly invoicing to CVF on standard 30-day terms
