Position: Shipping Coordinator
The shipping coordinator oversees & manages the shipping needs for the entire organization efficiently. This is a highly organized position that supports our shipping department, supply chain, production floor, and project managers with scheduling & planning. This is a proactive and dynamic position in a fast-paced millwork company.
Requirements:
o Microsoft Office Suite (Outlook, Word, Excel).
o Comfortable with using company ERP software.
o Well organized & detailed orientated.
o Manage staffing requirements, schedules, and yearly performance reviews
o Brings positive energy & can remain calm under pressure.
o Flexible thinking with strong problem-solving skills.
o Ability to prioritize.
o Communicate constructively with staff & management to improve and develop.
o Excellent customer service.
o Two years’ experience in a related position.
Responsibilities:
o Collaboration with Production Manager to create & manage schedules for Top40’s internal trucking fleet & drivers.
o Oversee Standard Operating Procedure for all shipments, which includes:
o Manifests printed, signed, dated & ensure items checked off & accounted for.
o Prepare & complete paperwork package for clients & drivers.
o Communicate deliveries to internal department – purchasing or PM, etc.
o Coordinate & plan backhauls with Purchasing & Project Managers.
o Manage, book, and track courier deliveries, LTL shipments, transport trucks, etc.
o Manage Top40 fuel cards, fleet sign out, keys for installers, and other staff.
o Track & coordinate with Millwright the maintenance & repairs of our trucking fleet & equipment.
o Communicate with Site Managers to plan deliveries – site access, arrival times, special site requests etc.
o Managing workorder status in ERP.
o Attend Project Management calls to monitor upcoming/on-going project statuses and ask/answer questions.
o Negotiate freight quotes with various companies.
o Maintain visible shipping schedule for outbound deliveries.
o Plan, and plan more – be well organized, communicate clearly with stakeholders and look ahead.
Wage Range: $55,000-$65,000
