We are currently looking for a Spa Guest Services & Front Desk Coordinator to become an important part of our team.
This is a full-time, in-person position, Tuesday through Saturday.
The Role
Our Guest Services & Front Desk Coordinator is one of the main connections between our guests and our treatment team.
You will often be the first person a guest speaks to when they call, email, walk into the spa, arrive for an appointment, or need assistance with a booking.
The right person for this role is friendly, highly organized, dependable, detail-oriented, and comfortable managing several priorities at once.
You will work closely with our Estheticians, Service Providers, and Management team to keep communication organized, appointments running smoothly, and guests well cared for throughout their experience.
What You'll Do
- Welcome guests warmly and professionally when they arrive at the spa
- Answer incoming phone calls and respond to emails, messages, and general guest inquiries
- Provide accurate information regarding appointments, spa services, treatments, products, policies, and booking procedures
- Book, modify, confirm, and manage guest appointments
- Communicate important booking details, guest questions, schedule changes, and special requests to the appropriate service providers
- Manage walk-in guests and front-end drop-ins while maintaining the flow of scheduled appointments
- Check guests in and out for their services
- Process payments, gift cards, packages, and retail purchases accurately
- Assist guests with product purchases and provide general information about Melt's retail and service offerings
- Contact guests regarding appointment openings, waitlists, schedule changes, promotions, new services, products, and other spa information
- Assist with cancellations, rescheduling, and last-minute appointment availability
- Maintain accurate guest profiles, appointment notes, and booking information
- Assist with inventory entry and product or service information within the booking and POS systems
- Help monitor retail and essential spa inventory
- Maintain a clean, organized, and polished reception and retail environment
- Support the overall presentation and cleanliness of guest-facing areas throughout the spa
- Communicate with treatment providers throughout the day to help keep appointments and services running smoothly
- Assist with opening and closing procedures as required
- Support service providers with reasonable front-of-house needs so they can remain focused on their guests
- Maintain guest confidentiality and handle personal information professionally
- Assist Management with administrative and operational tasks as required
- Support and help orient new team members when appropriate
- Work collaboratively with all areas of the business to provide a consistent premium guest experience
- Perform additional duties as required to support the day-to-day operation of the spa

You enjoy working with people and contributing to a team, but you are also comfortable taking responsibility for your own work without constant supervision.
You do not need to be an Esthetician or spa professional, but you should have a genuine interest in learning about our treatments, services, and products so you can confidently assist our guests.

- Previous experience in reception, hospitality, retail, customer service, administration, salons, spas, or wellness businesses is considered an asset
- Previous experience with appointment booking software or POS systems is considered an asset
- Must be legally authorized to work in Canada
