THE OPPORTUNITY
The Executive Assistant provides high-level administrative support to the Superintendent of Education and Instructional Services Team. This dynamic role is ideal for a highly organized professional who excels at coordinating multiple priorities, building positive relationships, and contributing to initiatives that support student success across the system.
KEY RESPONSIBILITIES:
- Coordinate professional development and travel arrangements for system staff, including accommodations, transportation, and itineraries
- Provide administrative support to the Board and advisory committees, including preparing agendas, meeting minutes, correspondence, and reports
- Organize meetings, conferences, and events, ensuring all logistics are coordinated efficiently
- Manage schedules, departmental calendars, records, and filing systems
- Support Ministry and Board initiatives by tracking project requirements, deadlines, data collection, and reporting
- Maintain and update departmental website content and resources
- Reconcile corporate credit card statements and assist with departmental budgeting processes
- Respond to inquiries professionally and provide exceptional customer service to internal and external stakeholders
- Coordinate special events, including staff recognition and Board celebrations
QUALIFICATIONS:
- High school diploma or equivalent, supplemented by a minimum of three years of administrative experience
- Exceptional organizational, time management, and multi-tasking abilities
- Strong communication and interpersonal skills, with a commitment to professionalism and confidentiality
- Advanced proficiency in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Adobe Acrobat
- Demonstrated ability to manage competing priorities, meet deadlines, and exercise sound judgment
- Experience with project coordination, data management, and continuous improvement initiatives is considered an asset.
