Carloft.ca is growing, and we are looking for a detail-oriented Deal Auditor to join our Kingston head office team.
This is a full-time, permanent, on-site position based at our Kingston head office. The successful candidate will report to the General Manager and help support select Carloft.ca locations.
This is a great opportunity for someone with accounting, administration, banking, legal-document review, bookkeeping, dealership office, or contract-processing experience. Automotive dealership experience is preferred, but not required. We are willing to train the right person.
As a Deal Auditor, you will review completed vehicle deal files after delivery and funding to make sure all legal and financial documents are accurate, complete, and audit-ready.
You will be reviewing important documents such as bank contracts, bills of sale, trade-in paperwork, ownership documents, lien information, warranty documents, disclosure forms, safety paperwork, finance documents, commissions, fees, and supporting deal paperwork.
This role is ideal for someone who is organized, accurate, comfortable with numbers, and confident enough to ask questions when something does not look right.
- Review completed vehicle deal files after delivery and funding
- Audit bank contracts, bills of sale, finance documents, trade-in documents, ownership documents, lien information, warranty forms, disclosure forms, safety paperwork, and supporting deal documents
- Confirm that required documents are complete, accurate, signed, and filed correctly
- Review legal and financial documents for accuracy
- Check for missing signatures, incorrect VINs, customer information errors, incorrect taxes or fees, lienholder issues, and other documentation concerns
- Confirm commissions and supporting deal information
- Review gross, trade-in details, finance products, admin fees, and cost-of-sale information where required
- Communicate with Sales, Finance, Accounting, and Management to correct deal file issues
- Return incomplete or incorrect files for correction when required
- Track recurring errors, patterns, or process gaps
- Prepare reports and summaries for management
- Help ensure deal files are ready for internal review, accounting, banks, external partners, and management
- Support OMVIC-related compliance processes; training will be provided

- Entry-level accounting or bookkeeping experience
- Office administration experience
- Banking, lending, insurance, legal admin, or contract-processing experience
- Dealership administration experience
- Automotive finance or F&I paperwork exposure
- Experience reviewing bank contracts or bills of sale
- Experience with PBS, Dealertrack, or other automotive software
- Excel or spreadsheet experience
- OMVIC compliance knowledge; training will be provided
- On-site at our Kingston head office
- Overtime may be available but is not expected
- 90-day probationary period
