Overview

We are seeking a highly organized and proactive Administration Officer to join our team. This role is vital in ensuring the smooth operation of our administrative functions, supporting various departments, and maintaining effective communication across the organization. The ideal candidate will possess strong Microsoft Office skills, excellent communication skills, and the ability to manage multiple tasks efficiently. Bilingual proficiency in English and French is preferred to facilitate diverse stakeholder engagement. This position offers an opportunity to develop your project management, records management, and leadership skills within a dynamic work environment.

Duties

Manage and maintain accurate records, databases, and filing systems using tools such as Microsoft Access, SharePoint, and other relevant software.
Prepare reports, presentations, and documentation utilizing Microsoft Word, PowerPoint, and Excel with strong attention to detail.
Oversee correspondence, including emails and written communication, ensuring clarity and professionalism.
Coordinate meetings, schedule appointments, and organize events while managing calendars with Microsoft Outlook.
Support procurement activities, including vendor negotiations and purchase order processing.
Assist in project coordination by utilizing Microsoft Project and other project management tools.
Provide exceptional customer service by addressing inquiries promptly and professionally.
Facilitate internal communication across departments through effective use of organizational tools like SharePoint.
Supervise administrative staff or team members when necessary, demonstrating leadership qualities.
Ensure compliance with company policies related to records management, filing, and data security.
Contribute to process improvements by analyzing workflows and recommending efficiencies.

Experience

Proven experience in an administrative or office management role with a strong understanding of office procedures.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential; familiarity with Microsoft Access, SharePoint, and Microsoft Project is highly desirable.
Bilingual ability in English and French is preferred to support diverse communications.
Demonstrated skills in project management, negotiation, procurement, records management, and data analysis.
Excellent organizational skills with the ability to prioritize tasks effectively within tight deadlines.
Strong written and verbal communication skills coupled with attention to detail.
Experience working with databases or CRM systems is advantageous.
Ability to adapt quickly to new technologies and software platforms while maintaining high standards of accuracy.

This role requires a professional who is detail-oriented, resourceful, and capable of managing multiple responsibilities efficiently while fostering positive relationships within the organization.

Pay: From $19.68 per hour
