Full job description

Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will manage daily office operations, provide exceptional customer service, and support various administrative functions. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience in medical or dental office settings is a plus.

Duties

Manage front desk operations, including greeting visitors and answering phone systems with professional phone etiquette
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle filing, document proofreading, and general clerical tasks to ensure smooth office workflow
Support bookkeeping and basic financial tasks related to billing and invoicing
Provide excellent customer support and service to clients and patients
Assist with appointment scheduling, calendar management, and follow-up communications
Maintain organized office supplies and ensure the cleanliness of the reception area
Support administrative projects as needed, including correspondence, report preparation, ordering materials, and record keeping

Experience

Previous office experience required; experience in an HVAC offices is highly desirable
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
Familiarity with QuickBooks or similar bookkeeping software
Strong computer skills including data entry, typing, proofreading, and managing multi-line phone systems
Excellent organizational skills with attention to detail and accuracy
Prior clerical or administrative experience demonstrating strong organizational abilities and customer service skills
Knowledge of front desk procedures, phone etiquette, filing systems, and general office management practices
