What you will do:
The ACTIVENet Associate and Facility Booking Clerk is responsible for inputting and maintaining program registration information within ACTIVENet, and assisting in the administration, maintenance, troubleshooting, and training related to the ACTIVENet software system; as well as providing support to the Facility Allocation and Booking team. The incumbent demonstrates support for the corporate values and practices fully in supporting the Section, Division and the Community Services Department goals and objectives.
Reporting to the Supervisor, Business Services, your primary responsibilities will include, but are not limited to, the following:
Input and maintain recreation program information in ACTIVENet – for both drop in and registered seasonal programs, including descriptions, session dates, program fees, custom questions and receipt notes.
Create and book facilities in ACTIVENet.
Assist with maintaining all Facility Services POS items, touch screen layouts, terminals.
Assist with maintaining all membership types, fee’s and set up.
Assist with maintaining all system GL accounts, manage account adjustments and payment linking issues, set up & maintain City standards of account practices i.e. taxes, adjustments, refunds, journal entries.
Assist with creating, maintaining, and distribute various reports, such as program registration, membership transactions, and rental permits.
Maintain confidentiality of database initiatives relating to the development of service level changes, program changes and project management/coordination. Manage duplicate accounts, new account creation, and subsidy requirements.
Activate staff accounts and manage access to system, maintain user security controls ensuring daily functionality of the system and integrity of the database.
Troubleshoot and resolve system issues. Email report/receipt issues, run database queries to resolve issues, find alternatives when system is limited to function, payment issues with server, ‘bugs’ in software.
Assist with testing and training of software system upgrades.
Provide system training for all new and current staff, create and maintain training literature.
Respond and oversee online customer inquiries.
Participate in Recreation Services teams providing ACTIVENet expertise, software updates, policy and procedure changes, and system set up requirements.

What you will bring:
Post-secondary diploma in Recreation & Leisure, Business Administration, Computer Science or a related field.
Three (3) years of previous experience working with registration system administration or relevant related work experience.
Thorough knowledge of ACTIVENet, or similar registration system, including user and system administration is preferred.
General knowledge of various recreational activities in relation to the City’s facilities.
Accuracy and attention to detail is essential.
Computer literacy utilizing Microsoft Office (Word and Excel) including the ability to create and modify reports and data queries.
Understanding of computer systems-operational and technical system servers, SQL.
Excellent interpersonal and communication skills to deal effectively with internal and external customers.
Previous experience with facilitation and training.
Demonstrated ability to work collaboratively, independently and in a team environment.
Ability to multi-task and meet deadlines with minimal supervision.
Demonstrated commitment to a team approach regarding work processes.
