PART-TIME LEGAL ADMINISTRATIVE ASSISTANT
JOB OVERVIEW
We are seeking a part-time legal administrative assistant to join the Unified LLP property & commerce team. There is potential for this role to morph into a full-time position based on our staffing needs later this year.
This is a 100% in-person role at our Waterloo Region office located in Downtown Kitchener.
The ideal candidate has at least one year of experience in a law firm setting.
You will be assisting our team of lawyers and paralegals with real property and commercial matters involving both litigation and transactions. You will gain exposure to "niche" areas of real property law (expropriation, planning/development, construction law) as well as various types of commercial matters.
OVERVIEW OF RESPONSIBILITIES
- Telephone and client communication support
- Conflict checks and reports
- Scanning PNC (potential new client) notes and entering into contact lists
- Retainer agreements
- Opening client files
- Scanning and filing notes electronically
- Scanning expense receipts
- Bank runs and record-keeping
- File open sheets
- Client IDV where exceptions don't apply
- Closing files
- Arranging appointments
- Maintaining calendars
- Maintaining client files both electronic and hardcopy, scanning documents
- Preparing Bill of Costs
- Disbursements/Expenses
- Diarizing key dates
- Saving all e-mail attachments to client files
- Uploading materials to Caselines
- Attending on calls and producing minutes
- Routine reporting letters
SKILLS
- Diploma in legal admin, paralegal studies, law clerk studies or similar program
- Proficiency in Clio or similar program, Microsoft Word, Outlook, Excel, Adobe Pro, Teams, and Zoom. Familiarity with Teraview is considered an asset. Familiarity with technology and computer skills is required.
- Strong research skills with the ability to gather and analyze information effectively

- Exceptional organizational abilities to manage multiple tasks simultaneously
- Proficient in data entry with a keen eye for detail
- Strong clerical skills for administrative tasks
- Ability to write clearly and concisely for legal documents
