Full job description

Overview
We are seeking a detail-oriented and highly organized Administrator to join our team. The ideal candidate will provide essential administrative support across various departments, ensuring smooth office operations. This role requires strong computer skills, excellent communication abilities, and experience in clerical and customer service functions. The Administrator will be responsible for managing data entry, filing, scheduling, and front desk duties in a professional environment.

Duties

Manage and maintain accurate records through data entry and filing systems
Handle multi-line phone systems, answer inquiries, and direct calls appropriately
Provide exceptional customer service to clients and visitors at the front desk
Schedule appointments, meetings, and coordinate calendars using Microsoft Office and Google Workspace tools
Assist with bookkeeping tasks using QuickBooks and other accounting software
Prepare documents with proofreading and editing to ensure accuracy
Support office operations by managing correspondence, emails, and administrative tasks
Maintain organization of office supplies and equipment
Provide support for medical or dental office procedures if applicable, including patient check-in and scheduling (if relevant)
Ensure efficient communication between departments and external contacts

Qualifications

Proven experience in an administrative or clerical role with familiarity in office management functions
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or similar bookkeeping software preferred
Strong computer skills including data entry, document formatting, and file management
Excellent organizational skills with the ability to prioritize tasks effectively
Exceptional phone etiquette and customer service skills
Ability to handle multiple tasks simultaneously in a fast-paced environment
Attention to detail for proofreading and maintaining accurate records
Previous experience in medical or dental office settings is a plus
Knowledge of front desk operations, multi-line phone systems, and filing procedures is desirable
