About Proline Utility Construction
Proline Utility Construction is a growing utility construction contractor providing overhead and underground powerline construction services throughout Alberta and British Columbia. We operate a diverse fleet of trucks, trailers, heavy equipment, and specialized utility construction equipment that supports multiple field crews across Western Canada.
As our company continues to grow, we are looking for a highly organized and proactive Fleet Maintenance Coordinator to help build and manage our fleet maintenance systems and ensure our equipment remains safe, reliable, and available for our operations teams.
Position Overview
The Fleet Maintenance Coordinator will be responsible for planning, scheduling, and coordinating all fleet maintenance activities. This role will work closely with field operations, mechanics, vendors, and management to ensure preventative maintenance, repairs, inspections, and compliance requirements are completed efficiently and effectively.
This position is ideal for someone who enjoys creating systems, solving problems, coordinating people and resources, and taking ownership of fleet maintenance processes.
Key ResponsibilitiesFleet Maintenance Coordination
- Manage fleet maintenance activities and records using Motive fleet management software
- Develop, implement, and maintain preventative maintenance schedules for all fleet and equipment assets
- Monitor maintenance requirements based on mileage, engine hours, inspections, and manufacturer recommendations
- Coordinate equipment downtime and maintenance schedules with operations and field supervisors
Work Order Management
- Receive and process repair requests from field personnel
- Create, prioritize, and assign work orders to shop mechanics
- Track repair progress and ensure timely completion of maintenance activities
- Maintain detailed maintenance history and repair records
Parts Procurement & Vendor Management
- Source and purchase parts, materials, and maintenance supplies
- Build and maintain relationships with vendors, suppliers, and service providers
- Ensure parts are available prior to scheduled maintenance activities
- Assist with inventory control and management of commonly used parts
Compliance & Documentation
- Track and schedule CVIPs, inspections, certifications, and regulatory compliance requirements
- Maintain accurate equipment files and service records
- Monitor warranty coverage and manufacturer service programs
- Support company safety and maintenance documentation requirements
Reporting & Continuous Improvement
- Maintain accurate fleet data and asset information within Motive
- Monitor equipment downtime and maintenance costs
- Identify opportunities to improve fleet reliability and maintenance efficiency
- Provide regular maintenance status updates to management
QualificationsRequired
- Minimum 3 years of experience in fleet maintenance coordination, maintenance planning, equipment coordination, shop administration, service advising, or a similar role
- Strong organizational and scheduling skills
- Experience coordinating multiple priorities in a fast-paced environment
- Strong computer skills including Microsoft Office
- Excellent communication and problem-solving abilities
- Valid Class 5 Driver's License
Preferred
- Experience with fleet management software such as Motive, Fleetio, Samsara, or similar platforms
- Experience in construction, utility, transportation, trucking, or heavy equipment industries
- Knowledge of heavy trucks, trailers, and construction equipment maintenance practices
- Experience purchasing parts and working with equipment suppliers and repair vendors
- Familiarity with CVIP and commercial vehicle compliance requirements
