Job Overview
We are seeking a detail-oriented and organized Office Administrator/Bookkeeper to join our team. This role is essential in maintaining smooth office operations, managing financial records, and providing exceptional customer service. The ideal candidate will have strong administrative skills, proficiency in bookkeeping software like QuickBooks, and experience working in a professional office environment. This position offers an opportunity to contribute to a dynamic team while utilizing a broad skill set to support daily business functions.

Key Responsibilities:

Accounting & Finance

Manage accounts payable and accounts receivable
Prepare and issue customer invoices
Monitor collections and customer account balances
Process payroll and maintain payroll records
Complete bank reconciliations and credit card reconciliations
Assist with month-end reporting and bookkeeping
Maintain accurate financial and administrative records
Support management and external accountants with reporting requests

Office Administration

Oversee day-to-day office operations and organization
Manage office supplies, vendors, and administrative systems
Support front desk responsibilities and customer interactions
Coordinate incoming calls, payments, and documentation
Maintain filing systems and internal records

HR & Team Support

Assist with employee onboarding and offboarding
Maintain employee files and HR documentation
Coordinate benefits administration and related paperwork
Support internal communication and office culture initiatives

Operations Support

Assist with inventory tracking and office-related purchasing
Support management with operational coordination and process improvements
Help implement and improve internal systems and workflows

Qualifications

5+ years of experience in accounting, bookkeeping, office management, or administration
Experience with payroll processing and AP/AR management
Strong organizational and time management skills
High attention to detail and accuracy
Proficiency with QuickBooks and Microsoft Office
Strong communication and interpersonal skills
Ability to manage multiple priorities in a fast-paced environment
Construction or trades industry experience is considered an asset
