About the Role
We are looking for a friendly, organized, and dependable Temporary Administrative Manager to provide maternity leave coverage. As the first point of contact for our clients, you will play an important role in creating a positive experience while ensuring the smooth day-to-day operation of the clinic.
The position begins with five days per week in an Administrative role for September and October, transitioning to five days per week in an Administrative Manager role beginning November 1, 2026.
Key Responsibilities
- Welcome and check in clients with a warm, professional attitude.
- Answer phone calls, emails, and client inquiries promptly and courteously.
- Educate clients about our physiotherapy, Pilates, and wellness services.
- Process sales of memberships, punch passes, and retail products.
- Schedule and manage appointments using our clinic management software.
- Process payments, submit direct billing to extended health providers, issue receipts, and assist with basic billing tasks.
- Maintain accurate client records while ensuring confidentiality.
- Provide administrative support to our team of physiotherapists, osteopaths, chiropractors, kinesiologists, registered massage therapists, acupuncturist, and Pilates instructors.
- Keep the reception area clean, organized, and welcoming for clients and visitors.
Qualifications
We're looking for someone who:
- Has previous administrative or reception experience (experience in a healthcare setting is an asset).
- Demonstrates excellent communication and customer service skills.
- Is highly organized and able to manage multiple priorities.
- Is comfortable using computers and appointment scheduling software.
- Works well independently and collaboratively within a team.
- Has strong attention to detail and a positive, proactive attitude.
