Position Purpose & Summary
The Visit Experience Coordinator serves as a primary front-facing representative of Trinity Western University during the peak recruitment cycle (August – April). This role focuses on delivering exceptional individual visit experiences, leading campus tours, welcoming prospective students and families, and supporting admissions event execution.
The Visit Experience Coordinator ensures that each guest experiences a personalized, organized, and hospitable introduction to the TWU community. This role focuses on execution and delivery of visit experiences within frameworks established by the Visit Experience Lead.
This is a part-time continuing position with unpaid leave from May 1 to July 31. The position reports to the Visit Experience Lead.
Key Areas of Accountability
Front-Facing Hosting & Coverage

Welcome and host prospective students and families during individual visits and admissions events

When needed cover the front desk welcome area

Lead engaging and informative campus tours tailored to student

Adapt tour routes and messaging based on audience, season, and campus activity

Represent TWU’s mission, values, and academic offerings accurately and enthusiastically

Ensure a professional, organized, and hospitable guest experience
Individual Visit Coordination

Coordinate on-campus and virtual individual visits

Develop customized itineraries based on student interests

Schedule faculty, staff, and ambassador participation

Manage day-of visit logistics, check-in, and campus navigation
Event Execution Support

Provide front-facing hosting support at Preview Days, Info Sessions, and other Admissions events

Assist with registration management and guest flow

Support ambassador coordination during event execution
Communications & CRM

Manage pre- and post-visit communications in Salesforce using established workflows and templates

Escalate system issues or improvement opportunities to the Visit Experience Lead

Maintain accurate visit records, attendance tracking, and reporting

Collaborate with Marketing and Recruitment for timely follow-up
Admissions Funnel Awareness

Maintain a working knowledge of the admissions process and timelines

Answer basic admissions-related questions

Ensure seamless operational handoff to Recruitment staff for next steps
Recruitment Support

Under the direction of the Visit Experience Lead, provide logistical and materials support for recruitment outreach by preparing, packaging, and distributing materials for off-site events and school visits, including fulfilling advance materials requests for recruitment staff

Bachelor’s degree required

Experience

Minimum 2 years of experience in customer service, event coordination, student engagement, or admissions/recruitment-related field
