Full job description

Location: Leamington, ON

Position Summary

We are seeking a highly organized and motivated Operations Coordinator to support the day-to-day operations of our growing manufacturing business. This individual will play a key role in coordinating logistics, managing inventory, overseeing production scheduling, preparing customer quotations and sales orders, and ensuring projects are completed on time.

The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment where organization and communication are essential.

Key Responsibilities:

Warehouse & Inventory

Maintain a clean, organized, and efficient warehouse.
Manage inventory levels and perform regular inventory counts.
Receive, inspect, and organize incoming materials.
Ensure all inventory is accurately labeled and stored.
Monitor stock levels and communicate purchasing requirements.
Maintain accurate inventory records.

Shipping & Logistics

Coordinate all local deliveries and pickups.
Schedule shipments with freight carriers and local transportation providers.
Prepare shipping documents, packing slips, and delivery paperwork.
Track outgoing shipments and resolve shipping issues.
Ensure orders are shipped accurately and on schedule.

Production Scheduling

Develop and maintain daily and weekly production schedules.
Coordinate with production staff to ensure customer deadlines are achieved.
Monitor production progress and proactively adjust schedules when necessary.
Work closely with purchasing, warehouse, and production teams to ensure materials are available when required.
Identify scheduling conflicts and recommend solutions to maintain on-time delivery performance.

Sales Administration

Prepare customer quotations and sales orders for projects valued under $10,000.
Enter and process customer orders accurately.
Follow up with customers regarding quotations, orders, and delivery schedules.
Support the sales team with administrative tasks as required.

Project Coordination

Coordinate smaller customer projects from order through completion.
Monitor project timelines and ensure milestones are achieved.
Communicate project updates internally and with customers.
Assist in resolving issues that may impact project schedules.

General Operations

Support continuous improvement initiatives.
Maintain accurate operational records and documentation.
Assist management with day-to-day operational activities.
Help develop and improve internal processes to increase efficiency.

Qualifications

2–5 years of experience in operations, logistics, manufacturing, warehouse coordination, or project coordination.
Excellent organizational and time management skills.
Strong problem-solving and decision-making abilities.
Ability to manage multiple priorities while meeting deadlines.
Proficiency with Microsoft Office (Excel, Outlook, Word).
Experience with ERP, inventory management, or production scheduling software is considered an asset.

Requirements

Fluent English (spoken and written) is required.
Strong verbal and written communication skills.
Ability to work independently while collaborating effectively with multiple departments.
High attention to detail and commitment to accuracy.
Professional attitude with a customer-focused mindset.
Forklift experience is considered an asset

Work Schedule

Regular working hours are Monday through Friday, 8:00 AM to 5:00 PM.
Due to the nature of manufacturing and customer commitments, additional hours may be required during busy periods or to meet project deadlines.
The successful candidate should be flexible and willing to work overtime when operational needs require.

Success in This Role

The successful candidate will:

Keep the warehouse organized and inventory accurate.
Ensure production is scheduled efficiently to meet customer deadlines.
Coordinate shipments and logistics effectively.
Prepare accurate quotations and sales orders.
Manage small projects from start to finish.
Help improve operational efficiency while providing outstanding customer service.

Pay: $22.00-$24.00 per hour
