About Us
Lethbridge North County Potable Water Co-op (LNCPWC) is a not-for-profit potable water cooperative serving approximately 700 rural members throughout the region. Governed by a dedicated Board of Directors, LNCPWC is committed to providing reliable water services while maintaining strong relationships with our members and community partners.
We are seeking a highly organized, professional, and self-motivated Office Administrator to oversee the day-to-day operations of our cooperative. Reporting directly to the Executive Committee and accountable to the Board of Directors, this role is ideal for an experienced administrator who enjoys working independently, managing diverse responsibilities, and contributing to the success of a community-focused organization.
Position Summary
The Office Administrator is responsible for the efficient management of administrative, accounting, financial, and operational functions of the cooperative. The successful candidate will serve as a key liaison between the Board of Directors, members, government agencies, contractors, and other stakeholders while ensuring the smooth operation of the office.
Key Responsibilities
Administration & Operations
- Manage daily office operations and administrative activities.
- Maintain accurate, organized, and up-to-date member records.
- Respond to member inquiries regarding accounts, water unit transfers, location transfers, new construction projects, and general requests.
- Maintain both electronic and paper filing systems.
- Assist the Operations Department as required.
- Analyze crossing agreement requests, and prepare crossing agreements.
- Learn and maintain a working knowledge of the Alberta Water Act and Potable Water Regulation.
Accounting & Financial Management
- Perform full-cycle bookkeeping using QuickBooks Online.
- Manage accounts receivable and accounts payable.
- Process payroll, Records of Employment (ROEs), T4s, GST rebates, and monthly invoicing.
- Administer online banking and prepare monthly EFT receivable and payable files.
- Prepare monthly financial reports and interim financial statements for the Board of Directors.
- Coordinate with external auditors to facilitate the annual financial audit.
- Prepare and file annual corporate returns.
Board & Stakeholder Support
- Coordinate monthly Board meetings, including preparation and distribution of Board packages.
- Attend Board meetings and other meetings as required.
- Provide administrative support to the Executive Committee and Board of Directors.
- Serve as the primary point of contact for members, municipal governments, provincial agencies, and external stakeholders.
Qualifications
- Office Administration certification, Accounting certification, or equivalent related experience.
- Minimum 5 years of experience in office administration or office management.
- Minimum 5 years of accounting experience, including full-cycle bookkeeping and financial statement preparation.
- Proficiency with QuickBooks Online (QBO).
- Strong computer skills, including Microsoft Excel, Word, email systems, online banking platforms, and related software.
- Excellent written and verbal communication skills.
- Ability to work independently, prioritize tasks, and adapt to changing responsibilities.
- Experience in public utilities or a cooperative environment is considered an asset.
- Ability to successfully pass criminal record, credit, and employment verification checks.
