The School of Business & Energy is seeking an Administrative Assistant to the Dean to join our team.

The Administrative Assistant to the Dean provides executive administrative support to the Dean of the School of Business & Energy, while also ensuring the efficient day-to-day operations of the Business department. This role is responsible for supporting projects and initiatives, managing sensitive and confidential information, and completing all necessary financial and budgetary responsibilities for the school. The incumbent requires a thorough knowledge of college operations, policies, and procedures and serves as a key point of contact for faculty, staff, students, and external contacts.

Key Responsibilities

Provide advanced administrative support to the Dean while maintaining a high degree of confidentiality and professionalism.
Coordinate schedules, meetings, and appointments for the Dean of the School, Business Chair, and Business Academic Advisor.
Provide daily clerical and administrative support to faculty, staff, and students within the School of Business.
Assist with planning and executing departmental meetings and events, including booking rooms, arranging catering, preparing agendas, recording and distributing meeting minutes, and following up on action items.
Support ongoing programming, new initiatives, and special projects.
Prepare and manage correspondence, reports, meetings materials, and other departmental documentation.
Maintain organized administrative files, supply inventories, and student databases.
Serve as the first point of contact for walk-ins and phone inquiries, ensuring excellent customer service and directing inquiries appropriately.
Support annual budget preparations, data entry in Hyperion, and monitor financial performance.
Process financial transactions, including purchase orders, visa reconciliations, and expense claims, and review financial reports using PeopleSoft.
Act as a liaison between School leadership, faculty, students, internal departments, and external contacts.
Ensure compliance with Lakeland College policies and procedures.

Job Requirements

Two-year diploma and five years’ related experience.
Experience supporting senior leaders is preferred, and post-secondary experience is considered an asset.
Strong organization and time management skills.
Excellent communication and interpersonal skills with external and internal contacts.
Comfortable exercising considerable judgment based on the nature of the issue i.e. sensitivity, confidentiality or urgency.
Experience preparing budgets, monitoring financial performance, and providing financial analysis to support decision-making.
Considerable knowledge of office procedures and operational processes.
Excellent computer skills in Word Processing, Excel, Outlook.
PeopleSoft experience would be considered an asset.

Additional Information

This is a Full-time Temporary AUPE appointment at the Lloydminster campus commencing as soon as possible and ending July 30, 2027, with the possibility of an extension. The current salary range is $54,853-$69, 125 per annum and includes a generous benefit package.
