Classification & Regular Hours

Hours per Week: 35

Salary Grade: 13

The base salary will be $63,730 - $90,820 per annum. Starting salary will be aligned with the successful candidate’s experience, skills, and demonstrated qualifications.

Please note, this is a 6-month temporary full-time contract opportunity covering a leave of absence.

About Us

The Office of the Registrar (OOR) fosters a culture of student service excellence and is a key contributor to the overall student experience at Western, from the initial point of contact with prospects through to graduation and beyond.

Within the OOR, the Undergraduate Recruitment and Admissions Office ensures successful achievement of Western’s undergraduate enrolment goals and strategic plans for growth, internationalization, and diversity by advising and supporting prospective students throughout the application and admission cycle.

Responsibilities

The Admissions Documentation Officer assumes personal responsibility for the Document Processing area and acknowledgement of applications for undergraduate domestic and international applicants to the University’s undergraduate degree, diploma and certificate programs. The role’s mandate is to ensure that the University’s admission standards are met and maintained through exemplary customer service, the adjudication of applicants, and the implementation of Senate policies governing admission and transfer credit.

Qualifications

Education:

Undergraduate degree
Undergraduate degree from Western University preferred

Experience:

3 years’ progressive customer service and administrative experience in a post-secondary environment
1 year experience supervising students or staff
Experience in student recruitment, admissions or counseling services preferred
Knowledge of enterprise applications, scanning technology systems and workflow processes preferred
Previous experience working with PeopleSoft or comparable Higher Education database and document imaging software preferred

Knowledge, Skills & Abilities:

Exceptional organizational skills, including managing multiple competing priorities and the ability to adapt quickly to emerging priorities
Ability to work well under pressure and handle conflicting priorities in a fast paced environment with frequent interruptions
Demonstrated ability to understand and communicate complex ideas orally or verbally, and understand customer needs and expectations while providing excellent customer service
Proven ability and natural inclination to interact with people in a professional respectful and diplomatic manner
Judgment, analytical and problem solving skills with a consultative and collaborative approach to address issues and opportunities; ability to exercise judgment within established guidelines
Strong record of teamwork with the motivation and ability to work independently with little supervision
Ability to process information with high levels of accuracy
Critical thinking and discernment to assess and scope areas for improvement and an ability to offer creative solutions
Strong customer service skills to handle enquiries and resolve issues in a professional and timely manner
Professional manner, tact, diplomacy and discretion in dealing with students, parents, guidance counselors and colleagues including senior management
A working knowledge of secondary and post-secondary education systems throughout Canada and internationally is an asset
Intermediate computer skills in Microsoft Office
Flexibility to work outside of regular business hours and travel on occasion
