Records Assistant - Job Reference #202607-04CE
DESCRIPTION:
Reporting to the Manager of Student Records, the Records Assistant plays a key role in supporting the full range of registrarial services across the student lifecycle – from admission to graduation. The incumbent will:
- Act as the first point of contact for students, faculty, and external stakeholders to ensure the delivery of exceptional front-line service by providing accurate information, guidance, and documentation related to admissions, records, examinations, international, registration and graduation services.
- Be primarily responsible for the Registrar’s Office general email inbox, which responds to enquiries related to all functions housed within the Registrar’s Office.
- Maintain student records at King’s.
- Responsible for the accuracy of all student records across all registrarial systems as student records are housed in systems shared between King’s and Western and in King’s specific registrarial systems.
- Collaborate with the Manager of Student Records and the Test and Exam Coordinator to support the planning, administration, and coordination of all Exam Office services.
- Provides administrative and technical support to the Manager of Student Records, in the development and maintenance of the institution’s academic schedule.
- Accurately uploads and indexes all received documents within the appropriate systems.
- Supports the Registrar’s Office with booking Committee Meetings, responding to scheduling requests and administrative tasks, as directed.
- Other duties as assigned.
MINIMUM QUALIFICATIONS (unless identified as preferred):
- College diploma is required.
- Minimum of 2 years of relevant previous work experience.
- Ability to work in a high-volume environment with competing priorities.
- Knowledge of Western’s Senate policies and Registrar’s Office operational procedures is recommended.
- Attention to detail with high accuracy and sensitive information.
- Understanding of Student Data Structures in Peoplesoft.
- Prior experience understanding relational databases (preferred).

SALARY RANGE:
SSG 9 - $56,989 - $69,434 per annum, dependent on experience
