Responsibilities

The PhP Program Support (TPT) will support the general operation of the PhD program, working closely with the PhD Program Coordinator and PhD Progam Director. This role provides comprehensive administrative assistance, ensuring smooth program delivery, and maintaining effective communication with stakeholders. To be filled internally.

Responsibilities:

Supports general program operation, working closely with the PhD Program Coordinator and PhD Program Director.
Provides administrative support, including arranging meetings, preparing agendas, booking rooms, statistics and data collation for reports.
Serves as a point of contact for PhD Program inquiries, responding directly or referring matters appropriately, using discretion in escalating concerns when needed.
Manages the PhD inbox and responds to inquiries from prospective applicants, current students, and faculty.
Facilitates graduate student funding processes, including term disbursements, funding plans, and tracking departmental, scholarship, and graduate fellowship funding.
Prepares and processes GTA and GSA contracts in accordance with applicable policies, procedures, and collective agreements.
Maintains financial records and provides budgetary approval for student conference travel reimbursements and cash advances.
Assists with onboarding new students, including creating student accounts, preparing bio books, creating and maintaining online profiles; and for current students updating records, files and tracking academic progression.
Assists in coordinating public lectures, thesis defenses, and elements of the PhD seminar series.
Supports main campus course enrolment and Ontario Visiting Graduate Student (OVGS) administration.
Administers Visiting Research Only (VRO) student processes, including arranging research security risk assessments.
Assists with admissions processes, including monitoring the application portal, preparing data for faculty review, and communicating with applicants.
Supports student annual review process
Arranges and monitors student office space allocations, ensures access, and responds to maintenance requests.

Qualifications

Education:

Community College Diploma in an administrative field or University Degree

Experience:

2 year of administrative experience providing customer service

Skills, Abilities & Expertise:

Written and verbal communication skills to express ideas clearly, and adapt communication style to suit the situation and audience

Computer skills with the ability to learn and use software programs

Proficient in Excel, Outlook, Power Point, and Qualtrics

Ability to maintain a positive, outgoing attitude with genuine customer service orientation

Ability to follow formal business practices with high attention to detail

Ability to multi-task and maintain an organized and effective personal work environment

Adapts readily and effectively to changing priorities and demands

Personable and courteous in working relationships with colleagues, students and the public

Ability to work independently and effectively as a member of the team to achieve department goals

Ability to work in a manner that is compliant with confidentiality requirements
