Position Overview
The Production Coordinator is responsible for planning, organizing and monitoring the flow of work through the woodworking shop. This role will require daily communication between the office staff and Shop Floor Foreman to ensure that projects meet their expected timelines, are within budget and are to the quality standards that are expected. This role will also require day-to-day, weekly and monthly planning to ensure staffing levels are adequate for the amount of work that is flowing through the shop.
Key Responsibilities
Production Coordination & Scheduling
- Create and maintain daily, weekly and monthly production schedules.
- Work closely with the Shop Floor Foreman to prioritize tasks and adjust workflow as needs change.
- Review project drawings, work orders, and timelines to ensure proper preparation before jobs reach the shop floor.
- Communicate schedule changes or updates to all relevant team members.
Material & Inventory Support
- Track inventory levels and identify material needs for upcoming jobs.
- Coordinate purchasing of materials, hardware, finishes, and specialty items.
- Prepare materials in advance to support the Shop Floor Foreman and production staff.
- Monitor incoming deliveries and ensure materials are labeled, organized, and stored properly.
Shop Support & Workflow Management
- Assist in organizing bills of lading and production notes.
- Ensure all necessary materials, tools, and information are ready before production begins.
- Help track job progress and report status updates to management.
- Identify potential delays or material shortages and proactively address them.
Communication & Coordination
- Serve as a key link between the office team, project managers, and shop floor staff.
- Communicate clearly with the Shop Floor Foreman regarding priorities, deadlines, and material requirements.
- Support coordination of outsourced services, subcontractors, and deliveries.
Documentation & Reporting
- Maintain accurate records of job schedules, material usage, and production timelines.
- Update project managers, coordinators and management of daily updates.
- Prepare simple reports or summaries for management as requested.
Qualifications
- 1–3 years of experience in a coordination, scheduling, or production support role (woodworking or manufacturing experience preferred).
- Basic understanding of woodworking processes, materials, and equipment (asset but not required).
- Strong organizational and time-management skills.
- Comfortable reading job orders, drawings, or blueprints (asset).
- Excellent communication skills and ability to work collaboratively with shop and office teams.
- Proficiency with scheduling tools, spreadsheets, or project management software.
Work Environment
- Must be comfortable working around woodworking tools, machinery, and materials.
