Summary:
The CaseWORKS, Data & Technology Support Coordinator supports the Child, Youth & Family Well-Being Services Department by coordinating the collection, entry, integrity, and maintenance of information within the CaseWORKS case management system. This role ensures records are accurate, secure, and maintained in accordance with departmental practices, reporting requirements, and privacy standards.
In addition, the position provides basic technology support to departmental staff, including device setup, troubleshooting, and day-to-day assistance with office technology. The Coordinator works closely with the Director to support data quality, reporting needs, service planning, and operational effectiveness while contributing to the well-being of children, youth, Elders, and families in the community.
Responsibilities:
- Oversee the collection, entry, accuracy, and ongoing maintenance of information within the CaseWORKS database.
- Coordinate data quality processes and ensure case management records remain accurate, current, and secure.
- Liaise with Coyote Software Corporation (VitalHub Company) regarding system updates, functionality, and requirements.
- Develop and implement processes for transitioning case management information into the CaseWORKS database.
- Support departmental practices related to data collection, documentation standards, and records management.
- Develop reports and data summaries to support planning, funding requirements, service monitoring, and operational decision-making.
- Assist in identifying data, reporting, and information needs within the department.
- Provide basic technology support, including setup of laptops, desktops, monitors, docking stations, printers, and scanners.
- Troubleshoot routine device, connectivity, printing, scanning, and office technology issues.
- Support staff with the day-to-day use of office technology and departmental tracking tools.
- Provide guidance on CaseWORKS processes, data entry standards, and documentation practices.
- Assist with onboarding and orientation of new staff related to CaseWORKS and department technology.
- Develop quick-reference guides, templates, and written instructions to promote consistent practices.
- Maintain strict confidentiality and ensure compliance with privacy and information security requirements.
- Participate in community events, meetings, training, and activities that support departmental goals.
Qualifications:
- Diploma or degree in Information Technology, Database Management, Computer Science, Office Administration, Social Administration, or a related field.
- Equivalent combinations of education, training, and experience may be considered.
- Minimum three (3) years of experience in data management, records coordination, case management systems, administrative systems support, or a related field.
- Experience using CaseWORKS or another case management database is preferred.
- Experience providing basic technology support, device setup, troubleshooting, printing, scanning, or workstation support is an asset.
- Experience working in child welfare, social services, First Nation services, or a related community service environment is an asset.
- Strong computer skills, including Microsoft Office, databases, records management systems, and office technology.
- Knowledge of confidentiality, privacy legislation, and the management of sensitive information.
- Strong analytical, organizational, problem-solving, oral, and written communication skills.
- Ability to work independently, prioritize competing demands, and maintain professionalism when handling confidential information.
- Valid Class G Ontario Driver's Licence with access to a reliable vehicle.
- Clear Police Record Check, including Vulnerable Sector Screening.
